The CPC is a non-profit, private organization with twenty-eight 28-member sports organizations dedicated to strengthening the Paralympic Movement.

JOB SUMMARY

The CPC is seeking a dynamic, people-oriented professional with a passion for administrative excellence and the ability to thrive in a fast-paced environment. As a key member of the Business Operations team, the Coordinator, Business Operations provides essential front-line support to both internal and external stakeholders and assists the Manager, Governance & Corporate Secretary. This role plays a vital part in supporting Board and Annual General Meetings, membership and staff engagement, and events while also serving as a primary point of contact for office communications and records management.

Compensation: $40,000-$45,000 annually based on experience plus benefits
Reports To: Manager, Governance & Corporate Secretary

Location: Ottawa. The position is primarily based in the Canadian Paralympic Committee’s Ottawa office, operating within a hybrid work environment. The successful candidate is required to be in the office for a minimum of 3 days per week, with flexibility for additional days as needed based on job demands.

Main Duties and Responsibilities

Office Administration

  • Ensure an optimal office environment that supports productivity and well-being by providing the resources, tools, and support needed for individuals to perform at their best and feel valued.
  • Manage office maintenance and repairs, including coordination with building management and alarm troubleshooting.
  • Handle reception duties, including mail and courier services, and office supply inventory.
  • Coordinate meeting room bookings and assist with office equipment (e.g., printers, Konica Minolta systems).
  • Organize warehousing logistics, shipping, receiving, and post-Games inventory.
  • Maintain office cleanliness, kitchen duties, and coffee supplies.
  • Support office communications, record maintenance, and data entry.
  • Prepare and organize presentations, meeting materials, and resource documents.
  • Assist with accessibility and translation services as needed.
  • Manage special administrative projects, such as correspondence, reports, and resource materials.
  • Support the Business Operations area with all Games Compliance requirements such as Team Members Agreements, Safe Sport Training requirements, Background checks, and other Games-related items as required.
  • Work in collaboration with Finance Manager, Governance & Corporate Secretary to manage inventory (mainly clothing) and support in administration reduction of Warehouse storage.
  • Maintain records of CPC assets.
  • Assist with meeting minutes for staff meetings and prepare debrief notes.

Events

  • Assist with CPC and Paralympic Foundation of Canada events (Board, Annual General Meeting, Staff Retreats).
  • Lead the annual sale of CPC clothing and inventory to support the Paralympic Foundation.
  • Arrange venue setups, audio/visual needs, catering, accommodation, and decor.
  • Support expense reconciliations and budgeting for event logistics.
  • Support travel and accommodation logistics for attendees and staff.

Requirements

  • 2-3 years of administrative experience preferred.
  • Proficiency in Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Bilingualism in French is considered an asset.
  • Great attention to detail and time management skills.
  • Able to work within a team atmosphere or independently and take accountability.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • University/College Diploma in Business or Sport Administration, Executive Administration, related field, or equivalent work experience.

Working Conditions

  • The position is primarily based in the Canadian Paralympic Committee’s Ottawa office, operating within a hybrid work environment. The successful candidate is required to be in the office a minimum of 3 days per week, with flexibility for additional days as needed based on job demands. Successful candidates must reside in the Ottawa region or be willing to relocate to the Ottawa region.
  • Occasional overnight travel and off-site work required.
  • Will be required to work evenings and weekends during busy periods, including Games and other unique events.
