Role Outline:
Surerus is currently hiring a Compliance and Document Control Coordinator, who will be responsible for managing corporate and project documents and ensuring their accuracy, quality, and integrity in adherence to the QHSE Management System, legislation, and regulations. The position helps the company adhere to reporting and retention policies, safeguards information and retrieves data more effectively as well as supporting management to maintain management systems.
Key Responsibilities:
- Support management by ensuring the review cycle of management system documents is maintained.
- Working with multiple departments to ensure regulatory requirements are being integrated into daily practice.
- Conduct internal audits to ensure compliance with established controls, standards and systems.
- Monitor and stay current on current legislation and regulations.
- Identify and document potential compliance gaps to Senior Management for correction.
- Organize, manage and track company and project documents and correspondence including electronic and hard copy documents.
- Archive inactive records in accordance with the records retention schedule.
- Issue documents for squad checks, follow up and maintain audit trail of reviews undertaken.
- Maintain required document registries in order to ensure document numbers are not duplicated and distribution is tracked.
- Support internal customer requests for documents.
- Liaise with partner companies to ensure documents are aligned.
- Create file folder structures and libraries on the management systems drive and maintain electronic registers of department documents.
- Assist to enforce document control requirements and rules for standards.
- Analyze, research and resolve documentation issues.
- Assist with file migrations and audits.
Note: In addition to these duties personnel are required to carry out such other duties as may be reasonably required in order to support the objectives of the Company.
Position Requirements:
Qualifications
- High School Diploma.
- Diploma or degree in a related field and/or combination of education and relevant experience.
Experience
- 2 – 4 years experience in a compliance support role.
- Document control experience within the construction industry is considered an asset.
Skills and Knowledge
- Knowledge of compliance and internal audit functions at an organizational level.
- Knowledge of document control principles, procedures and regulations.
- Knowledge of ISO 9001 document control requirements is an asset.
- Proficient knowledge of MS Office Suite (Word, Excel, Outlook, PowerPoint)
Working Conditions:
This position is office based and works at our permanent office location in Fort St John. Occasional travel may be required.
