Description

SUMMARY

Assist business manager with school administrative functions, processes, equipment, and employees in accordance with TLG standards. Oversee the community outreach program. Responsible for working cooperatively with the school's administration to develop and manage the community outreach, and provide a quality community program for the students of the academy.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

The Community Liaison:

  1. Be community-oriented, preferably with experience in youth programs or school activities.
  2. Demonstrate ability to work well with the community at large, including parents, students and staff.
  3. Organize and participate in monthly parent meetings.
  4. Have excellent integrity and demonstrate good moral character and work ethic.
  5. Exhibit a personality that demonstrates interpersonal skills to relate well with students, staff, administrators, parents, and the community.
  6. Demonstrate the ability to communicate effectively both orally and in writing for using proper grammar and vocabulary.

The Office Assistant:

  1. Use excellent written and oral skills when communicating with students, parents, and colleagues.
  2. Assist the business manager.
  3. Assist in developing and maintaining efficient daily, weekly and monthly office procedures.
  4. Record and file daily the student and staff attendance data.
  5. Provide for appropriate building mail distribution.
  6. Complete all delegated or routine typing/keyboarding of letters, documents and other Academy items as designated by the school leader.
  7. Assist in the new student enrollment procedures.
  8. Assist in maintaining a system for handling student permanent records.
  9. Complete all delegated or routine school-wide copies of letters, documents and other Academy items.
  10. Use computer to access information and communication networks relevant in accomplishing the Academy’s goals and daily operations.
  11. Regularly communicate professionally and courteously with students, faculty, parents, Board and the general community when representing the Academy.
  12. Distribute paper to appropriate staff on a monthly basis.
  13. Type/post/announce daily bulletins/announcements.
  14. Process clerical and personnel records to insure completeness, accuracy, and timeliness.
  15. Complete all office tasks in a timely manner.
  16. Complete all data entry, word processing, database management and spreadsheet manipulation as needed and in a timely manner.
  17. Maintain the academy’s student information system.
  18. Prepare and maintain office organization, management, and phone techniques.
  19. Maintain a successful experience with students, parents, staff, visitors relations.
  20. Work as a team member to accomplish multiple tasks.
  21. Function independently in the coordination of the responsibilities of a school office setting.
  22. Assist in translation needs of the academy.
  23. Protect the confidentiality of records and information gained as part of exercising professional duties and use discretion in sharing such information within legal confines.
  24. Display ethical and professional behavior in working with students, parents, school personnel, and outside agencies associated with the school.
  25. Maintain the academy’s student information system and MCIR system.

Requirements

  1. High school diploma.
  2. Ability to maintain a professional working relationship.
  3. Ability to organize work to meet deadlines.
  4. Ability to manage multiple concurrent assignments.
