Job Status: Limited Position - Bilingual - English/French

Estimated Probable Duration: Seven (7) Months

Number of Vacancies: 1

Affiliation: Inside Unit

Hours of Work: 70 hours bi-weekly

Shift Work Required: No

Range of Pay: Group 8 - $28.01 to $32.51 per hour

The start date will follow the selection process.

Characteristic Duties: Under the general direction of the Manager of Housing Services, with the day-to-day direction of the Co-ordinator of Housing Programs.

  • Process applications for community housing including determining/confirming eligibility, obtaining all required documentation, monitoring ongoing compliance and providing recommendations to the supervisor. Assign special priority status and/or urgent status, as required. Advise the supervisor of priority situations and anomalies.
  • Input applicant data on City of Greater Sudbury (CGS) registry system (electronic and paper) and update information as required ensuring applicant data is accurate and current.
  • Respond to applicants/community housing providers regarding application and waiting list status on the CGS registry. Keep accurate records of inquiries and responses.
  • Collect statistical data (i.e., registry usage).
  • Record household applicant selections ensuring that selections conform with CGS and Ministry policy and procedures.
  • Monitor and input offers of accommodation; report non-compliance issues to the supervisor, as required.
  • Input data and maintain database with respect to cancelled applications, ineligible or pending applications. Ensure household applicant files are current, complete and accurate.
  • Assist the supervisor in preparing files/documentation for applicant appeals.
  • Assist household applicants in completing CGS registry application forms.
  • Perform typing, filing and other miscellaneous clerical duties (e.g., responding to calls, distributing faxes, collecting and distributing mail, etc.).
  • Respond to general inquiries regarding CGS registry and application process; resolve minor complaints within pre-set parameters.
  • Develop and maintain a thorough working knowledge of CGS's Safety Manual and the applicable Provincial Legislation listed therein.
  • Perform other related duties as required.

Qualifications:

  • Successful completion of Secondary School (Grade XII) Education.
  • Two and one half (2½) years up to and including five (5) years of directly related experience.
  • Knowledge of community housing.
  • Ability to demonstrate interpersonal skills in dealing with the public in a courteous and effective manner.
  • Demonstrate ability related to computer software and administrative systems in a Windows environment (e.g., file maintenance, word processing, spreadsheet applications, database management, etc.).
  • Demonstrate accurate keyboarding skills at a minimum rate of speed of forty (40) words per minute.
  • Demonstrate organizational and administrative skills and ability to exercise judgement in procedures and methods used.
  • Strong problem solving and conflict resolution skills.
  • Good judgement, interpersonal and public relations skills.
  • Excellent use of English; verbally and in writing.
  • French verbal skills required; written skills an asset.
  • Satisfactory health, attendance and former employment history.

This job is also being posted as a development opportunity. Should there be no fully qualified candidate for this position, a candidate who can be expected to meet the required qualifications within a reasonable period of time may be considered for this position as a development opportunity.

Development opportunity range of pay: $27.22 to $31.86 per hour. The successful candidate will be paid at the reduced range until the minimum qualifications have been met.
