Position Summary: We are seeking a highly organized, proactive, and detail-oriented Operations Coordinator to support the daily functioning of our Academy. This role is essential to maintaining high standards in classroom management, compliance, HR tracking, reporting, and overall operational excellence. The ideal candidate is tech-savvy, efficient, and passionate about supporting a high-quality childcare environment. You would bring experience in childcare, hold an Alberta ECE Level certification, and enjoy both engaging with students in the classroom and working with technology behind the scenes.
Key Responsibilities
Administrative & Operational Support
- Manage classroom technology including Spotify, TimeSavr, and tablets.
- Maintain material and supply organization (including Legends materials).
- Oversee classroom inventory and ensure adherence to classroom standards.
- Implement and maintain labeling systems and organizational methods.
- Maintain accurate documentation and data within Illumine.
Compliance & Safety
- Incident reporting and documentation.
- Oversee outdoor tracking and visitor log accuracy.
- Monitor HR-related compliance: track criminal record checks, first aid & CPR expirations.
- Conduct monthly fire drills and fire extinguisher inspections.
- Maintain daily/weekly health & hygiene checklists.
- Ensure up-to-date review of first aid supplies.
- Manage dietary restriction records for students.
Human Resources & Team Support
- Track and coordinate CPR and first aid training for staff.
- Manage onboarding/preboarding documents.
- Organize team engagement initiatives and birthdays.
- Prepare monthly internal communications for the team.
- Process employment confirmation letters and exit documentation.
- Monitor and track payroll hours.
Enrolment & Family Communication
- Support drop-offs and conduct health screenings.
- Manage waitlist, enrolment, and projection tracking.
- Oversee inbox management and family relationship follow-ups.
- Ensure timely and professional communication with current and prospective families.
Reporting & Documentation
- Complete internal reports including tracking expenses and assisting with budget oversight.
- Organize and maintain document management systems.
Culinary Oversight
- Coordinate with the Academy chef, ensuring cleanliness and food safety.
- Review and approve weekly/monthly menus.
- Monitor meal service and dish rotation.
Qualifications
- Experience in early childhood education or childcare operations preferred.
- Strong organizational and multitasking skills.
- Excellent communication and relationship management.
- Proficiency with tech platforms (TimeSavr, Illumine, or similar).
- Basic knowledge of HR compliance (first aid, CPR, background checks).
- Detail-oriented with a proactive, solutions-focused mindset.
Requirements
- Certified ECE Level from the Government of Alberta.
- Police Clearance with a Vulnerable Sector Search.
- First Aid & CPR Training.
Job Types: Full-time, Permanent
Pay: $20.00-$22.00 per hour

Experience: childcare: 1 year (preferred), operations: 1 year (preferred)
Licence/Certification: Early Childhood Educator certification Level 1, 2 or 3 (preferred)
