The role of receptionist is to help the Montreal team in their daily tasks and to act as a one-stop-shop for customer service. The receptionist liaises and maintains strong relationships with current and potential clients, as well as their custodians, trust companies and brokers.

Is this role right for you? In this role you will:

  • Work from the office 5 days a week
  • Ensure reception always has someone to greet clients and answer phones
  • Open reception Montreal at 8:30 am every day
  • Close switchboard and lock up reception at 5 pm (end of day)
  • Pick up, open, distribute, stamp & deliver mail (courier and regular mail)
  • Schedule conference room reservations for meetings
  • Be responsible for cleanliness/tidiness of reception, boardrooms, mailing room & kitchens
  • Order and keep inventory of supplies
  • File closed accounts
  • Print and bind books/reports for client meetings or other staff
  • Replace the backup receptionist when necessary
  • Other tasks as requested by management

Education & Experience:

  • 1-3 years of work experience in a similar role
  • Investment industry experience (Brokerage, Investment Management or Trust Company) is advantageous

  • Strong knowledge of Excel and experience with Microsoft Office Suite

  • Excellent communication skills (written and spoken) in English and French
  • High levels of self-motivation and self-discipline
  • High level of attention to detail and accuracy
  • Punctual

“Pursuant to a language needs assessment conducted by Scotiabank, the successful candidate will be required to be able to communicate in English and French as they will be required to work closely with other groups from head office who operate primarily in English, and they will serve an English-speaking clientele.
