Summary


Reporting to the Manager, Client Services, the Client Experience Coordinator works within a team to curate LDE’s brand and guest experience as the front-line champion for clients and guests who attend LDE Events.


The Client Experience Coordinator is a solution-focused independent thinker who excels at customer service. This individual is a team player who understands that it takes the entire team to execute a successful event. The Client Experience Coordinator will be responsible for delivering high-quality, strategic, and well-designed event plans that ensure the client’s vision is achieved and often exceeded.


The Client Experience Coordinator plays a critical role in the planning, coordination, and execution of events while delivering a high level of customer service as the client’s primary point-of-contact.


Qualifications


Education and Experience:
  • Post-Secondary Diploma, Certificate or Degree, or a combination of relevant education, training, and experience.
  • Experience in the planning, preparation, promotion, and execution of multiple events is considered an asset.
  • Previous experience in sales, entertainment, or event industry is considered an asset.
  • Experience working events is considered an asset.

Knowledge, Skills, and Abilities Crucial to Success:
  • Strong problem solving and critical thinking skills.
  • Organizational and task management skills.
  • Customer service and communication skills.
  • Ability to manage stressful situations.
  • Proficiency in managing multiple, complex priorities within demanding timeframes.
  • Time-management skills and a proven track record of delivering quality results, with attention to detail.
  • Computer proficiency required including advanced Excel, Word, Outlook, databases, and general Internet skills.
  • Knowledge of the event and entertainment industry considered an asset.
  • Experience and knowledge of event management software, and CRM platforms considered an asset.

Other:

Must be able to obtain and maintain a satisfactory Criminal Record Check for the duration of employment.


Key Work Activities


As a key member of LDE’s Client Experience team, the Client Experience Coordinator participates in the development and execution of external client events as well as LDE Internally Produced Events by:

  • Playing a key role in the coordination and execution of assigned events.
  • Acting as the organizational liaison and client point-person during the execution of assigned events.
  • Facilitating effective communication with clients by phone, email, or in-person meetings.
  • Establishing lasting relationships with clients and stakeholders.
  • Managing the effective flow of information, including event confirmation sheets, quotes, floor plans, and invoices.
  • Inputting all post-sales orders and client requests into event software, including required setup equipment, catering orders, event services, and staffing requirements.
  • Coordinating event set up and execution with the Operations and Food & Beverage departments.
  • Arranging for deposits and final payments to be made with the Finance department.
  • Creating and distributing pre-event and post-event reporting.
  • Contributing to multi-departmental and team meetings.
  • Transitioning between different event locations and settings, while exhibiting a strong ability to multi-task and manage competing priorities effectively.
  • Executing any additional duties that may be required by the Manager, Client Services.

Working Environment


Full-time position. Work undefined hours to align with the event schedule. The Client Experience Coordinator will be required to work hours often in the evenings and/or weekends. This position does qualify to accumulate any overtime hours worked as Banked Time as approved by the Manager, Client Services.


The working environment takes place in LDE venues including the Agri-food Hub & Trade Centre. Freedom of movement, walking, and standing is required to be physically mobile and walk long distances for extended periods during events. Daily use of event management software and radio communication is required.
