What You’ll Do

In this role, you will be responsible for:

  1. Accounts Payable & Receivable
    • Prepare and input payables and generate cheques and related reports
    • Process and reconcile vendor statements and online payments
    • Prepare invoices, debit/credit memos, and enter receipts into Sage 300 Accpac
    • Manage aging reports and follow up on overdue accounts with collection efforts
    • Validate HST registration numbers and maintain vendor/customer master files
  2. Banking & Financial Reconciliation
    • Create and deliver bank deposits; manage petty cash and U.S. money orders
    • Prepare and reconcile monthly bank accounts (general, USD, payroll, library)
    • Prepare journal entries and input them into Sage for approval and posting
    • Monitor blank cheque stock and maintain cheque tracking spreadsheet
  3. Reporting & Documentation
    • Maintain sub-ledgers such as permit deposits and holdbacks
    • Input utility usage data into energy tracking spreadsheets and Ministry portals
    • Match credit card receipts to statements and prepare monthly reconciliations
    • Organize and maintain electronic financial records (AP, AR, bank docs, etc.)
  4. Client and Public Interaction
    • Respond to inquiries from vendors, departments, and the public
    • Greet visitors, direct calls, and manage telephone greetings
    • Provide support in the absence of the Administrative Assistant or other Bookkeepers
  5. Cross-Functional Support
    • Support financial operations during the absence of team members
    • Collaborate with other departments to ensure accurate and timely transaction processing
    • Participate in continuous improvement and administrative support initiatives
    • Perform other duties as required

What You Bring

Education and Credentials:

  • Two-year College Diploma in Business Administration, Accounting, or a related discipline
  • Knowledge of accounting principles and financial reporting best practices
  • Valid Class “G” Ontario Driver’s License and access to a personal vehicle
  • Completion of a Police Information Check (PIC)

Experience and Expertise:

  • 1–2 years of experience in accounting or bookkeeping roles
  • Experience in a computerized accounting environment using Sage 300 Accpac (or similar)
  • Familiarity with public sector finance is an asset

Skills and Abilities:

  • High level of accuracy and attention to detail
  • Strong verbal and written communication skills
  • Excellent organizational and time-management abilities
  • Proficiency in Microsoft Office (especially Excel and Outlook)
  • Ability to manage large volumes of data under time-sensitive financial cycles
  • Commitment to confidentiality and professional integrity

Other Requirements:

  • Must possess and maintain a valid Class “G” Ontario driver’s license and have access to a personal vehicle for work-related travel within Windsor and/or Essex County
  • Must provide a Ministry of Transportation Driver Abstract (Uncertified)
  • Must provide a Police Information Check (PIC) document
