Job Brief

The Lethbridge Public Library is looking for an enthusiastic, positive, thoughtful Administrative Support Clerk who has strong accounting skills and can deliver excellent customer service.

The Lethbridge Public Library is looking for an enthusiastic, positive, thoughtful Administrative Support Clerk who has strong accounting skills and can deliver excellent customer service. The top priorities in this role include providing financial, administrative and clerical support as well as reliable and consistent customer service.

This is a term appointment. It will end when the incumbent returns, expected by April 2026.

Your Average Day At LPL Includes
  1. Preparing and coding accounts payable and receivable including issuing receipts and data input into various financial software programs.
  2. Preparing Library deposits, maintaining floats and petty cash, in keeping with standard audit practices requiring separation of cash handling and accounting functions.
  3. Completing and inputting data journal entries using correct account codes for proper assignment of expenditures.
  4. Acting as a frontline receptionist to the delivery/Corporate Services wicket as well as providing clerical and customer service support, website updates, key fob management, managing email and phone calls, answering general inquiries and redirecting as required.
  5. Responding to external room inquiries, providing facility information, booking rooms, and coordinating previewing of rooms and set up.
  6. Ordering and maintaining office and library supplies.
  7. Sorting and distributing incoming mail and dispatch outgoing mail.
  8. Liaising with library staff, and external contacts in relation to projects.
  9. Maintaining detailed and accurate files.
  10. Researching vendors, prices, or other information related to purchasing.
  11. Assisting the Executive Assistant with conference registration, travel and accommodations as required.
  12. Assisting with the creation and production of publications and handouts formatted to appropriate standards/specifications, proofing documents and acting as back up for Communications Coordinator as required.

What You Need To Bring To This Position
  1. Diploma in Business Administration, Finance, Accounting, or a related field. An equivalent combination of education and experience may be considered at the discretion of the hiring manager.
  2. An understanding of accounting principles and procedures.
  3. Minimum of one year’s professional experience working in an entry-level accounting capacity and knowledge of JD Edwards is an asset.
  4. Proven working knowledge of a wide variety of office productivity software including word processing, spreadsheets and publishing. Demonstrated knowledge of Microsoft Office products.
  5. Ability to work quickly and efficiently while paying strict attention to detail.
  6. Ability to communicate effectively in oral and written English and demonstrate good listening skills.
  7. Demonstrated ability related to handling cash and deposits.
  8. Demonstrated decision-making skills and the ability to exercise good judgment in the best interests of Lethbridge Public Library at all times.
  9. Ability to work in a multi-tasking environment with competing deadlines and retain high accuracy levels is an asset.

Hours of work and location:

75 hours biweekly, Monday to Friday.

Working at the Main Branch and reporting to Manager: Corporate Services.

Salary Range

The salary range for this position is $23.07 to $28.34 hourly as per C.U.P.E. Local 70 (Library Employees) Collective Agreement (under review).

Note
The successful candidate must complete a Police Information Check prior to start date.
