Position Overview:
As the Child Care Coordinator, you will play a vital role in supporting the operations of YMCA Child Care by providing administrative assistance, coordinating program logistics, and facilitating communication between staff, families, and external partners.

Reporting to the Child Care Director, you will streamline communication, enhance administrative efficiency, and support program logistics to ensure the smooth operation of YMCA Child Care programs. Your efforts will directly impact the experience of staff, families, and children by improving response times, reducing administrative burden on leadership, and ensuring programs run efficiently and effectively.

What You’ll Do:

  • Administrative Support & Communication: Serve as the primary contact for staff and parent inquiries via the centralized email, responding directly when possible and cc’ing relevant stakeholders for awareness. Redirect inquiries as needed to streamline communication and minimize email and phone call volume for Managers and Administrative teams. Coordinate with external partners such as Wholesome Kids, manage purchasing (including Avron orders and Dollarama supplies), organize Toys R Us/Canadian Tire shopping days, and prepare and distribute the monthly calendar.
  • Program Coordination & Planning: Oversee the planning and coordination of PA Day and Break programs, including staff scheduling, in-house guest arrangements, field trips, and material procurement. Provide administrative support for Summer Extended Care programs, manage Placement Student Coordination, contribute to pedagogical assessments to enhance program quality, and lead Staff Appreciation event planning.
  • Operational Support: Ensure compliance with Ministry requirements by obtaining flushing reports from school board partners. Manage school board access cards as needed. Facilitate staffing logistics by coordinating coverage and responding to inquiries during shortages. Secure necessary permits and support program efficiency by visiting sites, assisting parents and staff with concerns, and, when necessary, stepping into programs. Perform additional duties as required.

What You’ll Bring:

  • Post-secondary education in Early Childhood Education, Child and Youth Studies, or a related field.
  • Experience in a licensed child care setting, management, or business administration. Courses in these areas are an asset.
  • Knowledge of the Child Care Early Years Act (CCEYA), How Does Learning Happen, and YMCA Curriculum.
  • Strong interpersonal and relationship-building skills, with the ability to establish rapport with families, staff/volunteers, and community partners.
  • Excellent communication skills, both written and verbal.
  • Excellent organizational, time-management, administrative, and computer skills utilizing MS Office, email, and internet applications.
  • Flexibility and problem-solving skills.
  • Experience resolving conflicts between staff, children, or parents, ensuring a positive, collaborative outcome and appropriate outcome.
  • Minimum of 18 years of age
  • Valid Standard First Aid and CPR-C & AED certification (Level C).
  • Access to a reliable mode of transportation

A Major Asset If:

  • You have worked in non-profit, charity or public sector organizations.
  • You have experience working with diverse individuals.
  • You have additional certifications in Administration.
