Position Overview
Responsible for overseeing events at the club, the Catering Coordinator handles everything from member events to corporate meetings, tournaments, and social gatherings. They coordinate with club members, event organizers, F&B supervisors, kitchen teams, and management to ensure a seamless and memorable dining experience for attendees.
Key Responsibilities
- Event Planning & Coordination:
Handle daily inquiries regarding banquet room availability and bookings.
Meet with members or event organizers to discuss event details, menu preferences, timelines, and budget.
Create event proposals, including menu options, beverage selections, and service arrangements.
Coordinate with internal teams (Chefs, Floor Managers, Bartenders) to ensure accurate and timely service.
Ensure all events comply with club policies, health regulations, and dietary restrictions.
- Menu Design & Customization:
Work closely with the Director of Food & Beverage to create menu packages.
Offer suggestions and alternatives for dietary restrictions, allergies, and preferences (e.g., vegetarian, vegan, gluten-free).
- Vendor and Supply Management:
Liaise with outside vendors and suppliers to ensure on-time delivery and setup.
- Logistics & Setup:
Create banquet event orders (BEO) outlining all event details and distribute them to appropriate departments.
Coordinate event timelines, including the setup, breakdown, and clean-up of banquet operations.
Manage the placement of tables, chairs, and decor to ensure the event is aesthetically pleasing and functional.
- Team Management:
Supervise service staff ensuring exceptional service throughout the event.
Provide training and guidance to staff on event-specific requirements and customer service standards.
Assist in the restaurant when needed to ensure timely and smooth member service.
- Financial Management:
Prepare and manage event budgets, ensuring cost-effectiveness while maintaining high standards.
Verify and approve billing after the event.
Qualifications
- A minimum of 2 years of previous experience in a similar role is required.
- Excellent communication and organizational skills.
- Strong attention to detail and ability to work well under pressure.
- Multi-tasking proficiency and ability to prioritize.
- Strong computer and technological skills; familiarity with JONAS Point of Sale system is an asset.
- Willingness to take on leadership responsibilities.
- Valid Serving It Right Certificate.
- Schedule flexibility to match demands, working evenings and weekends.
- Physical ability to lift at least 30lbs.
