The Opportunity:
As a Buying Coordinator, you will handle all buying administration tasks for your business area, working closely with the buying, planning, warehouse, and retail departments. Your efficient task management is essential to achieving sales goals and ensuring smooth operations. This role is crucial in maintaining the flow of products from suppliers to the shelves, directly impacting our sales performance and customer satisfaction.
Duties/Responsibilities:
Product Administration
- Create and manage product setup within the stock management system inline with business guidelines, including ad-hoc changes.
- Work with brands to obtain UPCs for option creation.
- Create purchase orders in the stock management system and submit them to brands in line with the sign-off process.
Order Book Management
- Manage the housekeeping of the on-order report, ensuring accurate on-order reporting.
- Communicate and chase ETAs from brands weekly, reflecting all findings within the stock management system.
- Communicate late or canceled purchase orders to the merchandising department.
- Manage back-ordered purchases.
- Reconcile the order book with brands to ensure accuracy.
Warehouse Coordination
- Promptly attend to any issues with receiving styles in the warehouse, including problems with UPCs and PO numbers.
- Communicate the list of approved POs to be delivered to the brands and warehouse to ensure that the styles received.
- Coordinate with brands to ensure timely delivery and accurate order fulfillment of approved POs.
- Align inbound with product & PO checks to ensure smooth receipt of POs. This includes checks on cost prices, retail prices, units, and Style IDs.
- Work closely with the warehouse to ensure efficient receipt of POs.
Buying Development
- Assist the merchandising department with ad-hoc projects or analysis as required.
- Support the buyer in building range plans.
- Support the buyer in the development of visual sign-off decks.
Skills/Experience/Knowledge Needed:
- Strong Communication Skills: Ability to effectively communicate with brands and internal teams.
- Organizational Skills: Excellent organizational abilities to manage multiple tasks and deadlines.
- Attention to Detail: Keen eye for detail to ensure accuracy in purchase orders, data entry, and record-keeping.
- Analytical Skills: Proficiency in analyzing data, market trends, and supplier performance.
- Proficiency in MS Office: Especially Excel for data analysis and reporting.
- Problem-solving skills: Ability to identify issues and develop solutions quickly and effectively.
