SUMMARY :

The ideal candidate will have experience working in an administrative or similar role; they must have Microsoft Office 365 experience. Must have strong attention to detail and be able to multi-task effectively to deliver at a high level.

Typical duties & Responsibilities :

1. Provide general administrative support to the business development team, including scheduling meetings, events, managing calendars, etc.
2. Taking detailed meeting minutes, filing and submitting reports as needed.
3. Directing communications between colleagues and customers.
4. Maintain an up-to-date database of industry contacts, leads, and competitors for easy reference.
5. Track and follow up on client inquiries and leads to ensure timely consistent communication.
6. Assist in maintaining relationships with existing clients by supporting ongoing communication, follow-ups, and administrative tasks.
7. Ensure client information is properly documented; must remain confidential.
8. Performing all other duties required by the Business Development team.
9. Proofread and ensure that proposals and presentations are accurate, professional, and aligned with company branding.
10. Help organize client meetings, calls, and events, and support post-meeting follow-ups to ensure next steps are communicated clearly.
11. Manage logistics for business development events, including registrations, materials preparation, and communications.

Other duties as assigned.

TECHNICAL QUALIFICATIONS & EXPERIENCE YOU MUST HAVE :

1. Post- secondary education in Business Administration, Marketing, Sales, or a related field preferred.
2. Familiarity with marketing tools, social media platforms, and customer engagement strategies.
3. Minimum of two (2) years as clerical, secretarial, or administrator office experience.
4. Knowledge and understanding of analysis of data and forecasts.
5. Strong computer skills; proficiency in Excel, Word, Outlook, PowerPoint, and PowerBi is an asset but not required.
6. Professional and concise communication skills; written and oral.
7. Comfortable with routinely shifting demands; adapt to last minute changes.
8. Ability to maintain high level of confidentiality.
9. Able to work under high pressure and tight deadlines.
10. High degree of attention to detail and organization skills.
11. Must be able to multi-task and meet deadlines.
12. Possess troubleshooting and communication skills to solve problems.
13. Strong work ethics and a positive team attitude.
