BILINGUAL VIRTUAL LEARNING PRODUCER (TERM – 15 MONTHS)

Location: Hybrid – Primary Remote (Ottawa, ON)

CONTRIBUTING TO THE CMPA

Safe Medical Care Learning is central to the CMPA’s vision of being a learning organization. The department’s core activities include learning strategy, design, development & delivery, event management, and administrative support. Safe Medical Care Learning incorporates needs assessment, design, delivery, and evaluation within a continuous improvement cycle to deliver learning to members and CMPA employees. Digital learning products contribute to a blended learning approach and are readily accessible through the modernization of the CMPA website. The Learning group utilizes state-of-the-art pedagogical science to share knowledge and improve the practice of members and their teams while also contributing to the internal learning needs of CMPA staff, leaders, and governance through internal collaborations.

POSITION OVERVIEW

The Virtual Learning Producer supports the delivery of synchronous virtual learning sessions. The incumbent works closely with internal partners to provide members with an engaging live virtual learning experience. The individual provides comprehensive planning support for the delivery of synchronous virtual learning sessions. The Producer works closely with members of the Safe Medical Care Learning team to ensure seamless delivery of synchronous virtual learning sessions. The incumbent plays an integral role in promoting and maintaining clear lines of communication between all stakeholders.

This individual is one of the CMPA voices and faces, representing the organization alongside the Physician Advisors throughout the event. The incumbent ensures the participants are welcomed and set up properly before the session begins, plays a central role in the delivery of the virtual learning session through the provision of in-session participation instructions, answering questions, providing associated materials, managing breakout sessions, and launching polls. The incumbent proactively contributes to the continuous improvement of processes and workflows with a focus on simplification, streamlining, and finding opportunities to support the current and the implementation of new technology in line with the delivery of virtual educational products.

POSITION ACTIVITIES

Event Facilitation

  • Supports the Physician Advisors with the delivery of virtual events, including early set-up, welcoming participants, facilitating online chats, technical support, and coordinating polling, whiteboard activities, and breakout rooms.
  • Provides pre-session planning and post-session support, including responding to participant questions and event closeout.

Coordination and Administration

  • Maintains clear lines of communication and acts as the point of contact between team members and participants regarding the delivery of virtual learning events.
  • Provides comprehensive planning support for the delivery of virtual educational products, including:
    • Determining size, format, complexity, and if the event is accredited.
    • Identifying set-up requirements for technology and selected assets.
    • Organizing rehearsals, tracking registration rates and action items.
    • Developing and/or modifying event production scripts in collaboration with event facilitator(s).
  • Creates and maintains core documents and technological platforms/tools associated with trials, dry runs, and ongoing delivery of mature virtual products.
  • Monitors the advancement of event planning and delivery and communicates the progress and status at collaborative meetings while leveraging CMPA internal communication channels.

Processes and Procedures

  • Contributes to the development and update of new and existing processes, procedures, and guidelines that help support virtual product delivery and activities. Ensures consistency and compliance with corporate policies by leveraging departmental and corporate technologies.

EDUCATION AND EXPERIENCE

  • Three-year diploma program at College, CÉGEP, or a three-year University degree.
  • A minimum of 4 years of coordinating cross-functional activities, including a minimum of 2 years in virtual event production.
  • Demonstrated experience with collaboration features for online meeting platforms such as Zoom.
  • Demonstrated experience providing technical support and/or troubleshooting participant technical issues during a virtual event.
  • Experience in project management, event logistics, education, or in the healthcare industry is an asset.
  • Completed courses or workshops in project management, computer applications (e.g., MS Office, Confluence, Sugar CRM, survey tools), and event management are considered assets.
  • Experience in operating audio-visual systems for meetings/conferences/events is an asset.

SKILLS AND ABILITIES

  • Ability and willingness to occasionally work outside of core business hours (weekends and/or evenings) is required.
  • Strong time management and organizational skills, with the ability to deal with multiple priorities simultaneously while maintaining attention to detail.
  • Strong and engaging group facilitation skills, comfortable on camera.
  • Sound judgment, strong leadership, and ability to take initiative.
  • Self-motivated with a proactive approach to problem-solving.
  • Strong work ethic, demonstrated ability to work effectively both independently and as a strong team member and team player.
  • Bilingualism (French and English) is required.

POSTING DETAILS

  • Job type: 15-month term, full-time position. Includes paid time off and health/dental benefits.
  • Salary Range: $69,700 to $81,000 – classified as a level 7.
  • Location: Hybrid – Primary Remote Job. You can work from a home-based office the majority of the time, with regular on-site presence at the CMPA office (up to 1-2 days per week). If you prefer to work in an office setting as your primary workspace, you can choose to work out of the CMPA’s office located in Ottawa, Ontario near the beautiful Dow’s Lake.
  • Skill assessment: selected candidates will be required to complete an online skills assessment and will be evaluated on verbal and written proficiency in both French and English.
