POSITION SUMMARY:

Reporting to the Manager, Portfolio Administration, the Portfolio Administrator is part of the Bank’s Portfolio Administration team. The mandate is to provide oversight of the Mortgage portfolio, by delivering high-quality service and efficient processes to the Bank’s Clients and internal departments to keep pace with the growth and evolving business needs.

The role is to ensure the Bank’s collateral continues to be sound and secure by completing processes in accordance to the Bank’s policy.

The Portfolio Administrator works closely with the Bank’s other departments for an end-to-end view of client experience. Incumbent must lead by example, provide solution-based recommendations and ensure healthy, effective relationships are fostered.

MAJOR ELEMENTS OF THE ROLE:

The Portfolio Administration team is responsible for the on-going administration of the entire mortgage portfolio therefore this position plays an important role within the Bank because it requires an understanding of the mortgage product and the Bank’s business process.

The ideal candidate must be results oriented and able to manage time-sensitive information, be well organized and work independently and has good communication,data analysis, problem solving skills, with a high priority and focus on excellent Customer Service.

Specific elements of the job include:

  • Property Taxes and Insurance
  • Coordinate customer confirmation of property taxes
  • Review insurance policies for adequacy of coverage
  • Follow up to confirm payment of property taxes
  • Regulatory Communications
  • Coordinate regulatory communications as required
  • Payment Processing
  • Apply payments, charges, fees appropriately
  • Operations Coordination
  • Liaise and coordinate with external partners (e.g. appraisers, lenders, etc.) and internal partners (e.g. Sales Agents, Underwriting, etc.)
  • Communicate file specific requirements
  • Ensure timely receipt and processing of required documentation
  • Review and validate documentation required for processing of new mortgages for accuracy and adherence to regulations and guidelines
  • Mortgage Discharges and Other Legal Changes
  • Process full and partial discharges
  • Evaluate and process severance/subdivision documentation
  • Review and coordinate POA / PGT requests
  • Miscellaneous duties and special projects as assigned

SKILLS AND EXPERIENCE REQUIRED:

  • A University Degree or College Diploma or equivalent work experience
  • Previous experience in Service industry preferred
  • Previous experience in Financial Services an asset
  • Knowledge of residential mortgages an asset
  • Bilingual (French and English)
  • 2+ years of related experience preferred
  • Excellent attention to detail and problem-solving skills
  • Excellent verbal and communication skills
  • Well organized, effective time management and ability to handle high volumes of work
  • Computer skills - Excel, Outlook, Word, Access and Internet is required
  • Ability to handle client information with discretion
  • Knowledge of Privacy and AML legislation would be considered an asset
