Job Description

  • This position consolidates various on-site financial supports into one. The primary responsibilities are on-site financial support for Account Payable (AP), Procurement cycle, and occasional Account Receivable (AR) support.
  • In addition, the coordinator provides office administration support across all departments and management levels for the site. Incumbents must be capable of multi-tasking to meet the department needs of working with multiple managers and assignments simultaneously.
  • Responsibilities include adjusting POs based on discrepancies between quote and invoice.
  • Ensuring vendors are set up in our systems and being paid in a timely manner. Responsible for resolving any issues with vendors.
  • Sourcing and creating purchase requisitions and receiving of goods and services.
  • Responsible for creating expense reports on a weekly basis for P-card purchases and other colleagues' credit card purchases.
  • Ordering items for the lab, based on the Orderbook and communicating with colleagues on status.
  • Finding quotes for lab items from various vendors and comparing prices.
  • Manage the front desk by answering telephones and directing calls as needed.
  • Manage inventory of office and printing supplies.
  • Full compliance with SGS Procurement Policy with respect to the specific purposes and restrictions of Requisition/Purchase Order (PO).
  • Full compliance with SGS Procurement Policy with respect to the specific purposes and restrictions of Purchase card (P-card) usage.

Qualifications

  • Education: College Diploma
  • Experience: Over 1 year of previous working experience in an administrative related role.
  • Ensures full compliance with the company’s Health & Safety, Code of Integrity, and Professional Conduct policies.
  • Proactive work ethics, able to work in a fast-paced environment with strong attention to detail.
  • Demonstrates excellent verbal and written communication skills including grammar and composition.
  • Must be able to read, understand, and follow work instructions in a safe, accurate, and timely manner.
