Job Title: Awards and Publishing Assistant

Department(s): Editorial

Reports to: Director, Subsidiary Rights, Audio and Operations

Status: 18 month contract

Location: 22 Adelaide Street West, Toronto (hybrid model)

Job purpose

The Awards and Publishing Assistant is responsible for administrative tasks across the editorial department, including but not limited to awards submission management, editorial and publishing operations assistance, and creation of internal and external materials, such as presentations and foreign rights guides. The Awards and Publishing Assistant balances and prioritizes tasks in a fast-paced publishing department.

Responsibilities

Awards

  1. Manage all award submissions and deadlines for Canadian adult and children’s titles each year (over 200 awards)
  2. Process awards fee payments, collect required awards materials, and coordinate shipping and couriers
  3. Maintain and update FileMaker awards database
  4. Prepare weekly awards submissions presentations for editorial meeting and circulate monthly and annual awards summaries

Editorial, Publishing, and Operations Duties

  1. Provide administrative and editorial support to the department
  2. Prepare seasonal launch presentations and foreign rights guides
  3. Order contractual author and agent gratis copies prior to publication
  4. Assist with workflows of metadata and payment management systems
  5. Execute and circulate publishing reports
  6. Liaise between departments and with authors, agents and co-publishers in a professional and friendly manner

Qualifications

  1. 1 year of experience in publishing
  2. Post-secondary education in a related field
  3. Publishing Program Certificate would be an asset
  4. Knowledge of Canadian publishing industry
  5. Strong attention to detail
  6. Proficient with Microsoft Office applications, including PowerPoint, Excel, and Microsoft Word
  7. Familiarity with Adobe InDesign and Photoshop
  8. Ability to multi-task, determine priorities, and remain cool under pressure
  9. Strong written and oral communication skills
