Position Summary
BCIT’s Learning and Teaching Centre is seeking a temporary, full-time (1.0 FTE) AV Equipment Coordinator. This position is responsible for the reservation and circulation of Institute audiovisual equipment with software circulation systems; demonstration of AV equipment to students and instructors; front line AV help desk by phone and email; troubleshooting and remote diagnostic services; maintaining an equipment inventory for main and remote campuses; tracking of purchase requisitions status; and maintenance of records and reports of circulation activity. The AV Equipment Coordinator is responsible for coordinating the annual capital AV equipment rollout, playing a functional role in securing AV inventory and mentoring auxiliary staff with regards to circulation and rollout duties. The position may also perform simple AV equipment maintenance and requires strong interpersonal, communication, and customer service skills in a drop-in facility.
Duties & Responsibilities
DUTIES AND RESPONSIBILITIES:
Customer Service/ Circulation- Operates AV front service desk and handles reservations and checkout of AV equipment using hard copy and/or software systems.
- Checks in equipment on return ensuring that all items and ancillary devices are returned in operating condition.
- Attends the main AV Services counter, telephone, and email to provide front line service and support for students and faculty, evaluate requests for escalation, and escalates issues to AV Services or other technical personnel as required.
- Advises and assists staff and students with AV equipment and refers clients to other on and off-campus services where appropriate.
- In collaboration with the supervisor and manager, develops circulation policies and forms.
Customer Service/Technical- Demonstrates, instructs and advises instructors, staff and students in the proper use and operation of a variety of audio visual equipment as appropriate.
- Performs front line troubleshooting with clients over the phone or in the office and escalates to technician as needed.
- Performs troubleshooting and simple maintenance of AV equipment as appropriate and generates service work orders.
- Coordinates the assignment of rollout related work orders.
- Coordinates equipment movement throughout the campuses. If required, delivers reserved equipment to classrooms or AV closets, checks that loaned equipment is returned, and follows up on missing items.
- Monitors the AV remote diagnostic system and provides first level support, escalating as required.
- Coordinates authorized repairs by preparing paperwork and following up with Purchasing or vendors/suppliers.
- Reconciles and tracks status of purchase requisitions and standing orders in Banner.
- Enters equipment and service data into Archibus system or other inventory systems and generates reports as required.
- Maintains service records, parts inventory, files and reports as appropriate.
- Prepares job aids for equipment operation and demonstrates operation of media production equipment to clients.
- Responsible for the annual capital budget of $250,000 specific to AV rollout including preparing draft proposals, monitoring and reconciling approved budget, initiating purchase requisitions, and preparing status reports.
- Coordinates the rollout project including assigning tasks to AV technicians, developing the implementation schedule, and escalating issues as required.
- Liaises with BCIT end users to determine long range AV needs; this includes conducting life cycle analysis of current equipment and determining priorities for replacement.
- Conducts market research and analysis of new equipment in accordance with BCIT standards and industry trends.
- In conjunction with the Purchasing department, participates in the tendering process for selecting of new vendors.
- Interacts with ITS to ensure AV equipment is compatible with standard computer equipment.
- Responsible for maintaining a secure room containing all AV assets; coordinates flow of these assets through various stages of receiving, engraving and dissemination across all BCIT campuses.
- Maintains all AV inventory using Cherwell or similar management system.
- Mentors, provides guidance & assigns tasks to auxiliary help with regards to rollout duties, inventory & installs.
- Provides manager with regular updates on current status of rollout budget, equipment installs, problems, etc.
Other Related Duties- Provides coverage for breaks as required.
- Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
Undertakes related duties as assigned, consistent with the job grade of this position.
Qualifications
QUALIFICATIONS:
Education:
- Grade 12, plus completion of specialized training courses of up to 1 year in duration i.e. Courses in AV and multimedia equipment, InfoComm CTS or similar designation.
License(s)/Certifications(s):
- Valid B.C. Driver’s License is an asset.
Experience:
- Two years general experience plus 1 year practical current experience in this or other positions of a similar nature. Experience with inventory control, audiovisual reservations and circulation is essential.
Software/ Computer Application(s) and Expertise:
- Considerable knowledge of Microsoft Office programs. Functional experience with various O/S, i.e. various versions of Windows. Understanding of how AV equipment and computers are used together, an interest in and functional experience with personal computers is expected. Considerable knowledge of Institute group-ware as designated by BCIT such as Microsoft Outlook, Cherwell and web applications. Knowledge of security issues and related software (i.e. attacks from peripherals and software updates).
Communication/ Interpersonal Skills:
- Strong customer service, communication and interpersonal skills, with the ability to work effectively as part of a team and to lead a team.
Other Skills/Abilities:
- Must be self-directed, and able to work with minimal supervision.
- Ability to adapt to frequent changes in Institute and department initiatives and technology.
- Demonstrated ability to problem solve, think critically, find alternate solutions, and make decisions, while handling a wide variety of tasks efficiently and simultaneously.
- Ability to lift 20 lbs.
- Ability to provide demonstrations on AV equipment to students and faculty.
- Ability to troubleshoot AV equipment issues.
- Ability to monitor, control, reconcile equipment inventory in a complex environment.

Salary Range
Salary Grade 6: $56,241 - $60,872 per annum.
Additional Salary Information
External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
