JOB TITLE: Audit Research and Communication Assistant

DEPARTMENT: Office of the CAO

NUMBER OF POSITIONS: 1

JOB STATUS & DURATION: Temporary, 4 months

WORK TERM: May - August, 2025

HOURS OF WORK: 35-hour workweek

LOCATION: Hybrid Model – when working onsite, you will report to the location of West Tower

HOURLY RATE: $20.21 Step 1 $20.82 Step 2

POSTING DATE: January 20, 2025

AREA OF RESPONSIBILITY:

Support the Internal Audit team by assisting with report writing, editing, and proofreading to ensure clear, accurate, and professional communication of audit findings and recommendations. You will also help prepare other necessary communication materials, such as presentations and summaries. Additionally, your role will involve conducting periodic research and jurisdictional scanning to support audit projects. Your contributions will be essential in providing efficient and timely support to ensure the smooth operation of the Internal Audit function.

  1. Prepare, edit, and proofread audit reports, project documents, presentations, web content, and other internal audit materials to ensure they align with the Internal Audit team’s mandate and are clear, concise, and professionally presented.
  2. Assist in the development of charts, job aids, and training materials to support the Internal Audit team in enhancing audit processes and knowledge sharing.
  3. Demonstrate advanced proficiency in Microsoft Word, utilizing styles, templates, tables, track changes, and document formatting to create polished, professional reports and documentation.
  4. Contribute to audit research by assisting audit staff in gathering and preparing relevant data, findings, and recommendations for inclusion in audit reports.
  5. Organize and maintain all audit-related documentation, including reports, presentations, and supporting materials, ensuring they are securely stored and easily accessible for future reference or review.
  6. Ensure that all documents and communication materials adhere to established internal audit guidelines, policies, and procedures, while also complying with municipal or public sector regulations.
  7. Ensure the timely and high-quality completion of project deliverables and documentation as assigned, meeting deadlines and maintaining attention to detail.
  8. Maintain a strong understanding of departmental programs and services, ensuring that your work is aligned with the department’s objectives and goals.
  9. Perform other duties and tasks as required, contributing to the overall efficiency and success of the Internal Audit team.

SELECTION CRITERIA:

  • Currently pursuing or in possession of a relevant university degree in the following programs: English, Communications, Business or Public Administration, or a related field.
  • Proven experience preparing and editing formal reports, specifically in environments that require following specific rules and regulations.
  • Experience in creating and formatting presentations for diverse audiences.
  • Advanced proficiency in document formatting, styles, and tables.
  • Experience with PowerPoint, Canva, and Excel.
  • Proofreading & editing to ensure clarity and consistency in audit reports.
  • Maintain a professional format across materials, adhering to guidelines.
  • Clear and concise written communication of complex ideas.
  • Strong verbal & interpersonal communication with teams and stakeholders.
  • Collaboration, teamwork and coordination to support audit processes.
  • Ability to understand the report content and present it clearly and comprehensively.
  • Strong ability to analyze data and determine the most effective methods for presenting information in reports and presentations.
  • Ability to handle multiple tasks and meet deadlines.
  • Experience managing time-sensitive projects.
  • Ability to manage sensitive information with discretion.
  • Precision in preparing documents, ensuring compliance.
  • Familiarity with public sector audit standards and municipal reporting protocols.
