Position Summary:
Reporting to the Associate Provost (Teaching & Academic Planning) (APTAP), the Associate Director, Operations provides oversight and leadership of the Office of the APTAP and its operations, including staff, policies, and practices. Provide strategic leadership and guidance directly to the Associate Provost (Teaching and Academic Planning) to ensure consistency across administrative functions, make data-driven decisions, implement innovative tools and practices, and cultivate operational resilience. Directly manage a team of administrative and support staff who work cross-functionally across the Office of the APTAP.

Primary Responsibilities:

  • In collaboration with the Associate Provost (Teaching and Academic Planning), establish the direction for the Office of the APTAP, oversee the implementation of its short- and long-term objectives, provide accountability for results, and effectively lead change, where appropriate.
  • Provide timely, confidential, strategic, and informed counsel and support to the APTAP as well as manage and resolve a large volume of functions and issues for the Office.
  • Directly manage staff in the Office of the APTAP in the areas of finance, Human Resources, communications, logistics, data management, strategic planning, and other administrative issues to support and achieve the Office’s vision and mission.
  • Participate in hiring, training and coaching. Meet regularly with employees, delegate and verify work, and provide feedback on areas of growth and development.
  • Identify and implement strategic process improvements to optimize workflows for the operations team, reduce redundancies in administrative tasks, and strengthen cross-functional collaboration and communication in service of the Office strategic priorities.
  • Work directly with unit leads in the Office of the APTAP to ensure effective and efficient functioning of the unit, including providing direction on managing priorities, allocating resources, and supervising cross-functional collaboration to complete projects and tasks.
  • Liaise with campus leaders on matters related to the goals of the Associate Provost (Teaching and Academic Planning), including policies, programs, budget, human resources, space planning, fundraising, government and external relations, and communications and marketing.
  • Develop and maintain the organizational plan for the Office, establish workflows and efficiencies that support the priorities and objectives of the Office of the APTAP, monitor and measure results, and implement change where appropriate.
  • Act as signing authority, manage funds and oversee budget allocations and financial planning.
  • Develop and implement staffing procedures and processes for hiring, onboarding, training, and HR support for the Office, as well as delegate tasks.
  • Develop the communications strategy for the Office in consultation with the Associate Provost (Teaching and Academic Planning).
  • Provide leadership and accountability for Office-wide policies, procedures, and processes.
  • Chair or lead committees and represent the University at internal and external meetings.
  • Negotiate terms of agreements on behalf of the Office of the APTAP and act as delegate in absence of Associate Provost (Teaching and Academic Planning).
  • Oversee and author various reports for the Office of the APTAP. Write proposals to support new initiatives and projects.
  • Develop relationships with external organizations including government officials.

Other Qualifying Skills and/or Abilities:

  • Demonstrated experience in higher education, with a strong understanding of policies, processes and procedures typically found in an academic institution.
  • Knowledge and sound understanding of enhancements in teaching innovation and excellence, curriculum development and review of academic programs (including online programming) and cyclical unit reviews.
  • Ability to think strategically and analytically and provide leadership for data-driven decision making while driving innovation to achieve the Office of APTAP’s vision and mission.
  • Knowledge of HR processes (i.e., staffing) and financial planning and management.
  • Demonstrated experience managing staff and leading cross-functional teams.
  • Proven ability to build and maintain networks with a wide range of stakeholders, including faculty, staff, government officials, and other external organizations.
  • Excellent communication skills, both verbal and written.
  • Expert knowledge and experience in supporting teaching and learning, in both digital and physical learning environments.
  • Understanding of University governance, academic policies, programs, and program approval pathways. Active participation in University governance committees an asset.
