ASSOCIATE DIRECTOR OF DEVELOPMENT

Reports To: Executive Director

Classification: Exempt

PURPOSE OF POSITION
The Associate Director of Development is responsible for all fundraising and development efforts for the organization, including major giving and donor relations, special event coordination, and marketing/public relations. The Development Manager is part of the leadership team, reporting to the Executive Director.

SUMMARY OF DUTIES
(Responsibilities to include but not limited to the following)
Overarching Responsibilities:

Board & Development Committee Collaboration

  • Serve as the primary staff liaison to the Board of Directors’ Development Committee, ensuring alignment with overall organizational goals.
  • Lead the creation and execution of the annual development plan, with a focus on donor engagement, major gift solicitation, and strategic fundraising initiatives.
  • Provide regular development reports to the Executive Director, Board of Directors and Development Committee, highlighting progress toward fundraising targets, donor engagement efforts, and upcoming strategic goals.
  • Collaborate closely with the Executive Director and Development
  • Committee to set annual fundraising goals and drive initiatives to meet these targets, including large-scale campaigns and high-profile events.

Donor Relations & Fund Development

  • Take a lead role in building and managing a comprehensive donor engagement strategy, focused on cultivating, soliciting, and stewarding major gifts and high-net-worth donors.
  • Partner with the Executive Director to identify and engage new donors, strengthen relationships with existing donors, and create personalized cultivation strategies.
  • Oversee the management of donor stewardship, ensuring that donors feel valued through regular, meaningful communication, recognition, and engagement opportunities, including NAP (Neighborhood Assistance Program) eligible donations.
  • Lead the solicitation of major gifts and guide staff in tracking donor interactions, ensuring accurate records are maintained.
  • Work collaboratively with the Development Associate and appropriate staff to acknowledge all gifts, including in-kind, and ensure all donor contributions are promptly and properly recognized.

Fundraising Strategy & Annual Planning

  • Develop and implement the organization’s fundraising plan with a focus on large-scale donor appreciation, special events, and sustainable revenue generation.
  • Establish and track annual development goals, including individual and corporate donations, event-based revenue, and major gifts. Ensure the fundraising goals align with the organization’s mission and financial needs.
  • Act as the point person for Nap Credits and all related outreach to donors, ensuring all eligible donations are identified and properly solicited.

Events & Volunteer Engagement

  • Lead the strategic planning, execution, and oversight of all fundraising events, including high-profile “friend-raisers” and donor appreciation activities. Ensure all events are tailored to strengthen relationships with current donors and attract new prospects.
  • Collaborate with the Executive Director to represent the organization at community outreach events, speaking engagements, and fundraising activities to strengthen Keyway’s public profile and donor base.
  • Supervise and support the day-today management and recruitment of volunteers, ensuring they are properly trained, motivated, and engaged in supporting the organization’s development efforts.

Communications & Marketing Strategy

  • Partner with internal and contracted marketing and communications staff to ensure a consistent and impactful donor communications strategy. This includes overseeing the creation of annual reports, newsletters, press releases, website content, and e-communications that reinforce donor relationships and encourage continued investment in the organization.
  • Develop and oversee semi-annual appeal letters, crafting personalized messages to inspire donor contributions, track the results of all campaigns, and adjust strategies for future efforts.
  • Work with marketing and communications to develop press materials, pitch story ideas, and coordinate media outreach to secure coverage of fundraising events, donor recognition, and organizational milestones.
  • Work collaboratively with Keyway staff, board members, and community partners to ensure clear, consistent messaging and branding for the organization.

Other Responsibilities:
Perform any other duties assigned by the Executive Director to support the organization’s development and fundraising objectives.

SUPERVISORY DUTIES
Supervise development staff and external partners as assigned, including managing the Development Associate and supporting their efforts in donor stewardship, volunteer coordination, and event execution.

WORKING RELATIONSHIPS
Internal:

  • Regular interaction with all Keyway staff to ensure coordination across departments and alignment of fundraising efforts with organizational goals.
  • Collaborate daily with the Executive Director to assess fiscal impact, set fundraising priorities, and review the overall effectiveness of development activities.
  • Work closely with the marketing and communications team to ensure unified messaging and donor engagement across all platforms.
  • Engage with other department directors to ensure their development projects are supported and aligned with fundraising goals.
  • Provide in-depth reporting to the Executive Director on donor engagement, financial performance, and progress toward fundraising goals.

External:

  • Cultivate and maintain relationships with donors, funders, and corporate and foundation partners.
  • Serve as the primary liaison to the Board of Directors’ Development Committee and work with them to provide strategic guidance and progress updates.
  • Build relationships with community leaders, civic organizations, and volunteers to raise awareness and expand the organization’s donor base.
  • Engage with new and potential donors through outreach, events, and cultivation activities aimed at increasing donor retention and acquisition.

KNOWLEDGE, SKILLS, and ABILITIES:
Education:

Bachelor’s Degree required.

Experience:

  • A minimum of 3 years’ experience in development functions preferably in a not-for-profit setting.
  • Annual giving and donor development experience required.
  • Management and supervisory skills required.

Knowledge and Abilities:

  • Must have high level of computer use skills, with knowledge of Microsoft Word, Excel, Outlook, Internet, social media platforms, and Neon (or comparable database) preferred.
  • Must have excellent interpersonal skills and a customer service focus.
  • Must have a high comfort level working with people from a wide range of backgrounds.
  • Must have a professional, approachable manner.
  • Must have the ability to juggle multiple tasks simultaneously and to work well under pressure.
  • Must have strong organizational and planning skills.
