Position Overview
The Assistant Transport Manager will play a crucial role in overseeing day-to-day operations in our transport department. This includes managing the customs clearance process, ensuring all driver files and inspections are up to date, and coordinating drug testing procedures for drivers. The role also involves ensuring that the company maintains full compliance with safety regulations, transportation laws, and industry standards.
Key Responsibilities
- Customs Clearance: Oversee and manage all aspects of customs clearance for international shipments, ensuring all paperwork, duties, and fees are accurately processed and compliant with regulations.
- Driver File Management: Maintain and update comprehensive driver files, ensuring all required documentation (licenses, certifications, medical records, etc.) is current and compliant with company and regulatory standards.
- Driver Inspections: Coordinate routine driver inspections, including vehicle inspections, and ensure compliance with safety and maintenance requirements.
- Drug & Alcohol Testing: Organize and manage pre-employment, random, post-incident, and annual drug and alcohol testing for drivers to ensure adherence to company policy and DOT regulations.
- Regulatory Compliance: Ensure all drivers and vehicles comply with local, provincial, and federal transportation regulations, including hours-of-service (HOS) and Electronic Logging Device (ELD) requirements.
- Safety & Documentation: Assist in preparing and maintaining safety documentation and reports related to inspections, accidents, and regulatory audits.
- Driver Support: Serve as a point of contact for drivers, answering questions related to inspections, testing, and compliance issues.
- Team Collaboration: Work closely with the Transport Manager and operations team to ensure smooth fleet operations and to address any compliance issues.
Qualifications
- Previous experience in the transportation or logistics industry, with at least 1-3 years in a supervisory or managerial role.
- Strong knowledge of customs clearance processes and relevant regulations (both domestic and international).
- Familiarity with driver file management, including licensing, certifications, medical records, and inspection compliance.
- In-depth understanding of DOT regulations, driver drug testing requirements, and safety inspection protocols.
- Strong organizational and time management skills, with the ability to juggle multiple tasks and meet deadlines.
- Excellent attention to detail, particularly when managing driver documentation and regulatory compliance.
- Ability to communicate effectively with drivers, management, and regulatory agencies.
- Proficiency with Microsoft Office (Excel, Word, Outlook) and experience using transport management or fleet management software (TMS/FMS) is an asset.
- Knowledge of industry best practices, safety standards, and compliance regulations.
Preferred Qualifications
- Experience with fleet maintenance systems or electronic logging devices (ELD).
- Familiarity with commercial driver licensing (CDL) requirements and DOT safety programs.
