Job description

Reporting to the Executive Dean, Faculty of Applied Health and Community Studies (FAHCS), the Assistant performs a variety of confidential administrative functions in support of the goals and objectives of the Dean, the Faculty and College-wide academic initiatives. The Assistant supports the Dean and is accountable for the coordinated process management and administrative leadership of a wide array of procedures, documentation and records critical to the Faculty's projects and planning initiatives, communication strategies, operations, processes and policy compliance. As a member of the management team, this position works closely alongside, and provides assistance to the Dean, Associate Deans, Managers and others on the management team and coordinates activities, projects and events of the Faculty.

The Assistant is required to organize and expedite the flow of work through the Dean's office and must have a good understanding of the Faculty programs/initiatives and other divisions and departments throughout the College, acting on behalf of the Dean where appropriate. The Assistant facilitates communication for the Dean's office with internal and external contacts and is responsible for administrative support of academic processes and committees supported by the Dean (e.g. Faculty participation/connections with various College councils, and committees, initiatives relating to partnerships, joint ventures etc.). Due to the confidential aspect of work, considerable discretion and judgement is required.


What You’ll Be Doing
  • Developing, implementing and monitoring administrative procedures to ensure efficient operation of the Office of the Dean;
  • Managing daily activities for the Office of the Dean, including preparing correspondence, scheduling appointments, and reviewing and assessing communications;
  • Providing administrative support and related logistics, documentation, preparation and follow up for internal and external committees and meetings;
  • Providing administrative support to Faculty committees, initiatives, partnerships, joint ventures, policies and Councils;
  • Providing updates to the Dean regarding ongoing campus or Faculty projects (i.e., renovations) and reporting back on follow-up items;
  • Implementing procedures and processes for records management that are compliant with legislative requirements (e.g. Freedom of Information and Protection of Privacy Act);
  • Developing, updating and maintaining a database of external clients e.g. Program Advisory Committee (PAC), Alumni including notes from visits, meetings etc.;
  • Tracking and managing projects that have College-wide, Faculty impact;
  • Managing administrative components related to special events or activities in the Faculty;
  • Helping organize events for Faculty as they relate to faculty professional development, Faculty meetings, special events, retreats for faculty and staff, convocation, etc.;
  • Performing other related duties, as assigned.

The successful candidate will also meet the following qualifications:
  • 3 year degree/diploma in Business, Office Administration or related field
  • 5 years of progressive experience providing senior level administrative support, preferably within a post-secondary environment (preferred) or a business environment. (Equivalency to be considered)
  • High level of proficiency with current office applications and technologies
  • Experience coordinating projects and events
  • Experience developing web materials, surveys, and newsletters (asset)
  • Project management experience (asset)
