We are currently hiring for the position of:
ASSISTANT PRODUCTION MANAGER
Reporting to the Senior Manager, Production Services, this position is responsible for the technical production support of live event production requirements for TIFF internal, Festival and third party events. This includes hiring, training, and supervising year-round and seasonal production services staff.
RESPONSIBILITIES:
Shall include but not be limited to:
- Production planning of live events, including on-stage conversations, production builds, panel discussions, conferences, award shows, concerts, and Festival events.
- Liaising with Internal TIFF teams regarding year-round and Festival live events, developing creative solutions to meet production and budgetary requirements.
- Managing client relations through pre-production, production, and post-production to ensure successful execution of events and as per contracts, and attending production meetings where needed.
- Preparing quotes for technical production components of all events, in addition to post-event reconciliation for invoicing.
- Scheduling of Projectionists, Stage Managers and other Technical staffing as required.
- Documentation and communication of all production details; including run of shows, content workflow, and all documentation for successful events for internal and external teams.
- Hiring and training of Stage Managers for both TIFF Lightbox year-round and Festival.
- Production logistics for special events and third party rentals, including coordination of equipment, technicians, rehearsals, content capture, deliveries, rentals, and timely creation of production schedules.
- Working with and negotiating with vendors.
- Supporting Senior Director and Senior Managers on quotes for technical production components, tracking quotes, PO’s, and post-event reconciliation for invoicing.
JOB GRADE & SALARY:
- Job Grade 2
- Job Grade Salary Range $50,000 - $60,000
TARGET CONTRACT DATES:
- Start date March 31, 2025
WORK LOCATION:
- Office Location: 350 King Street West, Toronto, ON M5V 3X5
- Weekly in-office requirements:
- Minimum 2 days (November to May)
- Minimum 3 days (June to October)
- Festival Office Requirements: Full Time during Festival.
- Flexible as schedule is based on events schedule, including early mornings, late evenings, weekends and holidays.
- Able to work longer days and weekends during busier times like Festival.
- Time pressure, ensure all information is documented and communicated in timely manner, including last minute requests from internal and external stakeholders.
MINIMUM REQUIREMENTS:
- Minimum of 5 years Live Event production experience, large scale and Festival events experience an asset.
- Minimum of 2 years supervisory and leadership experience.
- Excellent technical understanding of sound, A/V, lighting, and staging.
- Specific technical experience in film and video related technology would be considered an asset.
- Strong managerial, collaboration, and interpersonal skills, with an ability to remain calm under pressure.
- Excellent written and verbal communication skills.
- Self-starter who is highly organized and detail-oriented.
- Solid project management skills, and can handle multiple projects in a fast-paced environment.
- Attention to detail is a must; as there are many projects happening at the same time, there is a need to keep on top of everything to ensure that project details are accurately communicated to all team members in a timely manner.
- Proficiency in Google Suite, MS Office Suite, including Word and Excel, Artifax knowledge is an asset.
- Ability to work in a team environment and share information with many teams.
- Outgoing personality as this role works with both internal and external clients.
