Job description

We are currently seeking an experienced and detail-oriented Assistant Office Manager to help support our office manager and ensure smooth daily operations.

The Assistant Office Manager will work closely with the Office Manager to ensure the efficient and effective operation of the dental office. This role includes administrative support, patient care coordination, office organization, and assisting with financial and insurance management. The ideal candidate will have experience in dental office settings, excellent communication skills, and a proactive approach to handling office tasks.

Job Responsibilities:

  • Insurance and billing assistance: Work with patients to address billing concerns and payment arrangements.
  • Staff support and coordination: Provide administrative support in staff training and performance tracking.
  • Financial and Inventory assistance: Cash deposits, Day End reports and inventory checks.
  • Patient experience: Help ensure that patients’ needs are met and resolve any issues in a timely manner.
  • Compliance and Record keeping
  • Additional Duties: Fill in for the Office Manager during absences or peak times, support with marketing initiatives and community outreach.
Qualifications:

  • Minimum of 2-3 years prior experience in a dental office or healthcare setting.
  • Basic understanding of dental office procedures, billing, and insurance.
  • Proficiency with dental office software - Cleardent and Carecru is an asset.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Ability to multitask and work in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Ability to work well both independently and as part of a team.
  • Dental assisting or office management certifications are assets.
  • Knowledge of HIPAA regulations and patient confidentiality practices.
Work Schedule:

40 hours per week which will include some evening and weekend shifts.
