We are seeking a highly organized and detail-oriented Assistant Event Coordinator to support the planning and execution of various events. The Assistant Event Coordinator will work closely with the Event Manager and the event planning team to ensure the smooth execution of events, from initial concept through to completion. Key Responsibilities
Communicate with vendors, suppliers, and service providers to secure quotes, contracts, and ensure timely delivery of services.
Help manage guest lists, invitations, RSVP tracking, and seating arrangements.
Provide on-site support during events to ensure everything runs smoothly.
Coordinate with various teams and stakeholders to ensure that all event requirements are met.
Assist with event budgeting and maintaining financial records, ensuring adherence to budgetary constraints.
Handle event-related inquiries and provide excellent customer service to clients and attendees.
Create and distribute event timelines, schedules, and run-of-show documents.
Maintain event supplies and equipment inventory, ensuring everything is in good condition.
