JOB POSTING - ASSISTANT CONTROLLER

ABOUT THE ROLE

AMSSA (Affiliation of Multicultural Societies and Service Agencies of BC) is looking for an Assistant Controller to make crucial contributions to the organization’s finance and finance-related decisions. The Assistant Controller acts as the gatekeeper for AMSSA’s compliance with financial regulations, custodian for AMSSA’s financial operations, advisor for AMSSA’s financial strategies and funding, project coordinator with the Executive Team and Finance Team to ensure that AMSSA is on track for key stages in the financial cycles, and creator for essential documents and statements used for budgeting, auditing, reporting, and presentations.

The Assistant Controller reports to the Chief Executive Officer and receives directions from the Accounts Manager. Once the Assistant Controller becomes familiar with AMSSA’s financial functions, expanded scope and responsibilities will be assessed and considered.

WHAT YOU WILL BE DOING

  • Strategic Collaboration: Partner with the Chief Executive Officer and Executive Team to execute financial strategies and mitigate financial risks.
  • Coordinate Financial Reporting and Budgeting: Coordinate with the Executive Team and Finance Team to ensure that financial reporting and budgeting are completed on time. This includes supporting the Account Manager and ensuring that the Executive Team has the required information.
  • Prepare and Monitor Budget: Prepare and record annual and periodic budgets, including budgets for funding proposals, capital, rent and subscription allocations. Monitor project and program expenses.
  • Financial Audits: Manage the annual audit process, prepare the year-end documentation, and work with external auditors.
  • Compliance: Ensure financial services are delivered in compliance with federal and provincial regulatory requirements, funder requirements, and AMSSA’s policies and procedures.
  • Financial Operations: Monitor and process accounts receivable, accounts payable, cash flow, funding claims, general ledger, taxes, payroll, and other financial services.
  • License Management: Manage applications and renewals of licenses required for AMSSA’s operations and insurance coverage.
  • Assist Financial Reporting: Support the Accounts Manager in preparing and consolidating financial statements, analysis reports, claims, cash flow forecasts, presentations, reports, while maintaining accurate records and funder files.
  • Payroll Support: Support processing payroll and answering employee queries.
  • Human Resources Support: Assist with employee benefits, employee records, and HR policies and procedures.

REQUIRED KNOWLEDGE AND SKILLS

  • Financial and Accounting Expertise: Demonstrate a deep understanding of financial management practices, accounting principles, funding requirements and compliance considerations in Canada, especially for non-profit organizations.
  • Microsoft Productive Software: Advanced proficiency in using Microsoft Excel, Word, Outlook, Teams, and SharePoint.
  • Accounting, Payroll and HR Software: Proficient in using Humi, QuickBooks, and ADP.

REQUIRED EXPERIENCE, QUALIFICATIONS AND STATUS

  • 3+ years of relevant experience in finance management, accounting, payroll, financial audits, and budget-related tasks.
  • Education in a relevant field(s), such as Business Administration, Accounting or Finance.
  • Experience with QuickBooks is essential.
  • Must be able to clear Criminal Record Check upon hire.
  • Must be legally able to work in Canada.
  • CPA designation or working towards CPA is preferred, though not required.

WORKING CONDITIONS

  • This position is Full-time, Monday to Friday, 35 hours per week.
  • You will be expected to work in-office, located at Suite 2308, 4720 Kingsway, Burnaby, BC, V5H 4N2. Hybrid work can be discussed after completing the probationary period.
