The City of Victoria is looking for a detail-oriented Asset Systems Coordinator to join our Asset Management Team. In this role, you’ll work with asset owning groups at the City of Victoria to support the implementation and maintenance of our asset inventory and maintenance management software.

POSITION FUNCTION

Coordinate and participate in the ongoing maintenance, continued enhancement, and upgrades of the City’s asset management systems.

KEY DUTIES

  1. Review and analyze asset management processes and systems; liaise with City departments to determine business requirements and enhancements to asset management systems and databases.
  2. Coordinate and support populating and maintenance of asset data and relationships in operations/asset management and mapping systems.
  3. Develop and/or perform quality assurance procedures to identify data discrepancies between data sets that support the asset management systems.
  4. Respond to public and staff inquiries regarding asset information and asset management activities.
  5. Develop, manage, and coordinate corporate asset management system integrations with other corporate databases to meet integrated corporate objectives.
  6. Develop complex queries to import or extract spatial and non-spatial data and convert to other formats for internal and external clients and agencies.
  7. Perform testing procedures on system modifications; document changes, procedures and problems.
  8. Consult with software providers for possible program enhancements and future developments; provide guidance and training to user staff; develop end user documentation; maintain and control end user system security; represent City on corporate projects and committees as required.
  9. Perform related duties where qualified.

INDEPENDENCE

Work is generated by annual objectives, system requirements and requests for service or as assigned by supervisor. Work is reviewed upon completion. Problems such as deviation from established procedures are referred to supervisor.

WORKING CONDITIONS

Physical Effort: Sit with arms unsupported while keyboarding. (often)

Mental Effort: Long periods of intense concentration while dealing with computer files. (frequent)

Visual/Auditory Effort: Focus on a variety of small print or details and computers for long periods. (frequent)

Work Environment: Office.

KEY SKILLS AND ABILITIES

  1. Organize and prioritize work.
  2. Understand and apply the principles and methods of database analysis and management of operations management, asset management and geographic information systems.
  3. Advanced level operation of current City advanced specialty software, including Cartegraph and ESRI.
  4. Provide technical guidance and advice to user departments.
  5. Research and analyze needs and facilitate meetings and workshops.
  6. Create procedural documentation.
  7. Maintain accurate records.
  8. Establish and maintain effective working relationships.
  9. Represent the City to the public and outside agencies.

QUALIFICATIONS

Formal Education, Training and Occupational Certification: Technical School diploma including advanced courses in database management, asset management, and/or GIS. (2 years)

Experience: 4 years of related experience with asset management systems, mapping and GIS or an equivalent combination of education and experience.

OTHER: May be requested to substitute in a more senior position.
