Position Summary
The Agency Pay Coordinator is responsible for managing payroll processing, invoice approvals, and month-end accruals for the agency. This role involves data entry, responding to customer inquiries, preparing spreadsheets in Excel, and ensuring accurate processing of vendor invoices. The ideal candidate must be able to multi-task effectively in a fast-paced environment and possess strong organizational and Excel skills.
What you will do
- Data Entry & Invoice Processing:
- Perform data entry for pay and invoicing purposes.
- Process and approve invoices based on information pulled from A1 or spreadsheets.
- Investigate any short paid amounts on vendor statements.
- Payroll & Vendor Payment Management:
- Prepare weekly payroll files for distribution to vendors using A1 data.
- Approve invoices and send payroll adjustments to vendors daily.
- Confirm and process overtime charges for vendors.
- Follow up with internal departments regarding short payments.
- Customer Inquiries:
- Address and resolve all inquiries related to drivers not receiving payment.
- Follow up on any billing or payment discrepancies.
- Month-End Accruals:
- Prepare month-end accruals for agency payroll using Excel.
- Prepare month-end accruals for purchased transportation using A1.
- Ensure proper timing of month-end cut-offs and pull reports for additional trips for LTL.
- Additional Tasks:
- Send daily payroll adjustments and ensure they are closed in the system.
What You’ll Bring
Experience
- 1-2 years
- High school diploma
- Communication Skills: Ability to communicate effectively, both verbally and in writing.
- Excel Skills: Strong proficiency in Excel, including pivot tables, vlookup, and sumif functions.
- Multi-Tasking Ability: Ability to manage multiple tasks in a fast-paced environment.
- Data Entry Skills: High attention to detail for accurate alpha/numeric data entry.
- Organizational Skills: Strong organizational skills to manage multiple duties efficiently.
- Self-Motivation & Deadline Orientation: Able to work independently and meet deadlines.
- Transportation Industry Knowledge (Preferred): Knowledge of the transportation industry is an asset.
- A1 Knowledge (Preferred): Experience with A1 is an asset.
