Your opportunity:

The Department of Molecular Genetics holds a leadership position in Canada and internationally as a premier venue for biomedical and life sciences research and education. We have over 100 faculty members. Our dynamic community of over 350 graduate students is engaged in MSc and PhD Program in Molecular Genetics. We offer a professional MSc in Genetic Counseling as well as MHSc in Medical Genomics. Furthermore, the department provides a rigorous undergraduate specialist and major in Molecular Genetics and Microbiology. Our faculty, fellows, and students are highly acclaimed for pioneering phenomenal advances in some of the most exciting areas of modern science with a profound impact on human health.

As Admissions and Student Services Officer, you will play an integral role in supporting future graduate students in the various graduate programs in Molecular Genetics. You will work collaboratively with senior leadership and administrative staff to support admissions process and student success, including advising our students on academic matters, relaying information about program requirements, procedures, deadlines and policies, and verifying information such as course material and student access. Your demonstrated ability to foster and maintain networks across and outside of the University will be critical in engaging our community to foster an inclusive and welcoming learning environment.

Your responsibilities will include:

  1. Advising students and potential applicants on academic matters including but not limited to program and/or course requirements, admissions criteria, eligibility requirements, procedures and deadlines
  2. Preparing, organizing, and circulating relevant documentation including acceptance/decline letters to applicants, and program/course evaluations
  3. Providing program support by coordinating program schedules, arranging timetables and room bookings, and coordinating evaluation materials for review
  4. Analyzing statistical information, generating reports to inform enrollment projections and academic planning
  5. Supporting all aspects of the admissions process including reviewing and assessing applications and grade calculations
  6. Contributing to planning, execution, and promotion of events (i.e., recruitment events) including preparing event communications
  7. Maintaining course information on student information systems

Essential Qualifications:
  1. Bachelor's Degree or acceptable combination of equivalent experience.
  2. Minimum three years of progressive related experience in a student admissions environment within a large post-secondary institution
  3. Demonstrated experience advising and providing guidance to prospective applicants and students on admission requirements and processes
  4. Demonstrated knowledge of key graduate functions including admissions, enrolment, and registration
  5. Experience with providing program support including arranging timetables, room bookings, and coordinating evaluation materials for review
  6. Experience analyzing statistical information related to academic planning
  7. Experience monitoring project accounts and generating reports
  8. Strong understanding of principles of equity; experience fostering an inclusive community and applicant experience
  9. Experience supporting, planning, executing, and promoting events including preparing event communication materials
  10. Demonstrated experience analyzing data, producing statistical reports and working with data visualization tools
  11. Advanced proficiency with MS Office Suite, Zoom, learning management systems, student information systems and content management systems
  12. Excellent oral and written communication skills, with the ability to communicate with a diverse population
  13. Excellent organizational and time management skills
  14. Strong initiative, attention to detail, interpersonal, proactive and highly resourceful
  15. Proven ability to work independently and effectively manage competing priorities while maintaining a high degree of accuracy and quality
  16. Must be able to cope with pressures and deadlines while adapting to evolving processes and procedures
  17. Excellent judgement and diplomacy on confidential issues

Assets (Nonessential):
  1. Experience with FIS, ROSI/ACORN, Quercus and Slate is considered a strong asset

USW Pay Band 11 -- $75,223. with an annual step progression to a maximum of $96,196. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
