Position Details
The Faculty of Education and University of Lethbridge Counselling Services invite applications for an Administrative Support: Practicum and Partnership Development position serving in the Graduate Studies and Research & Counselling Services offices to commence duties on June 1, 2025. This is a 2-year term position that is funded to the end of June 30, 2027.
Working within the University of Lethbridge Counselling Services department and reporting to the Director, Student Wellness Services, the Administrative Support: Practicum and Partnership Development position will:
- Build and maintain the schedule for Counselling Services practicum students.
- Administer, process, and review confidential client paperwork/data forms, student advocacy letters, service referrals, file transfers, and file management procedures as set out by the University of Lethbridge.
- Provide client-specific administrative assistance to the department (i.e. session bookings, waitlist management, appointment reminders, rescheduling clients, Zoom scheduling).
- Provide general administrative duties (i.e., room booking, filing, meeting minutes, website updates, create/publish department marketing materials, work orders, and IT service requests).
- Answer phone, email, and in-person inquiries from ULethbridge students, alumni, staff, faculty, and other stakeholders regarding Counselling Services programs, services, and internship opportunities.
Working within the Graduate Studies and Research in Education office, and reporting to the Associate Dean, the Administrative Support: Practicum and Partnership Development position will assist in advancing the faculty’s strategic priorities for our graduate programs in counselling by:
- Providing administrative support to the Clinical Practicum Supervisor.
- Managing receipt of forms associated with finalizing practicum placements following approval of site/supervisor.
- Supporting the development of long-term partnership agreements with counselling organizations who supervise and support our MEd Clinical and Counselling Psychology, and Master of Counselling students in their practica.
Position QualificationsThe Successful Candidate Will- Have a Bachelor of Social Work degree or equivalent.
- Have 2 years minimum experience working with front-line counselling/crisis service work.
- Possess strong clinical judgement to promptly assess and triage client needs, while providing administrative assistance to counsellors, clinical and outreach coordinator, and practicum students.
- Have confidence in managing highly charged interpersonal situations.
- Be skilled in Confidential Record Management.
- Be excited to work within a dynamic team environment.
Preference will be given to applicants with extensive knowledge and skills in one or more of the following areas:- Mental health screening/assessment.
- Exceptional organizational skills.
- Strong interpersonal and anti-oppressive communication skills.
- Strong clinical judgement.
- Time management skills.
- Computer literacy skills.
Starting Salary Range (at 1.0 FTE): $4,576.00 - $5,114.00 monthly
Full Salary Range (at 1.0 FTE): $4,576.00 - $5,652.00 monthly (AUPE - Grade 9)
