Job Description
The Administrative Support resource must provide the services of an intermediate subject matter expert for the financial and project control activities. Specific tasks to be accomplished include:
- Financial Support: Day-to-day support to the client cost centre managers to include the following:
- Coordinate and track files, deliverables, tasks, action items and meets;
- Perform clerical duties, including taking accurate and concise notes;
- Maintain a procurement initiation request tracking system through a database and dashboard;
- Perform data entry, extract and analysis using a variety of software systems;
- Support responses to financial audit queries;
- Produce financial reports as required;
- Liaise and coordinate routine cost centre management activities with cost centre managers and the business management team (BMT);
- Maintain a spending authorization form tracking system;
- Support the quarterly financial reports and returns, including forecasts;
- Coordinate financial code distribution for minor travel expense claims.
- Travel Coordination Support: Day-to-day support the client travel coordination to include, but not limited to the following:
- Process travel requests in accordance with DND and Treasury Board travel directives;
- Maintain travel tracker for the client;
- Provide liaison between the clients travel cell.
- HQ Coordination and Support:
- Liaison and coordination with the business management team;
- Support the clients second in command for reports, returns, and other remits;
- Represent the client at building and facility meetings.
Qualifications
- Proof of Bachelor’s degree in Business Administration or similar field or proof of College Diploma in Business Administration or suitable field
- Minimum 3 years experience within the last 5 years in a minimum of 4 of this assessment area's criteria:
- Using MS Office Suite (e.g. Word, Excel, Access, Outlook and PowerPoint)
- Providing Administrative assistance, including building pass preparation, filing and project documentation control
- Processing travel including car rental, accommodation and flight booking
- Performing cost accounting such as tracking of project expenses including travel budgets/claims and verification of invoices
- Performing work accounting functions, including time tracking, timesheet verification, report generation and database updating
- Minimum 3 years experience within the last 5 years in the preparation of technical concept documents, system specifications, and technical proposals in the field of Information Technology / Information management or engineering
- Minimum of 2 years experience in each of the following areas:
- Developing briefings notes and presentations to address administration issues
- Liaising with stakeholders to support administration requirements for the organisation
- Providing advice, guidance and recommendations on administration issues to support the decision making of senior management
- Minimum 5 years experience as an Administration Support for defence organisations is an asset
- Must be able to obtain and maintain a government secret clearance and a controlled goods certification
