Our downtown client is in search of an “everyday hero” to provide versatile support wherever needed. Reporting directly to a key member of leadership’s Executive Assistant, this role is designed to alleviate administrative workload while also offering occasional personal assistant support to the executive team.

The responsibilities of this role encompass a diverse array of behind-the-scenes administrative tasks, including but not limited to: managing external correspondence, screening and directing calls, conducting research projects, assisting with event planning, and handling select personal assistant duties as required.

We seek a candidate who exudes composure, operates smoothly under pressure, and excels in a supportive role. Dependability, adaptability, and a readiness to tackle any challenge, even beyond standard working hours, are essential qualities for this position.

Duties and Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to ensure smooth operations within the organization.
  • Documentation and Record Keeping: Maintain accurate records, files, and databases, ensuring confidentiality and accessibility as needed.
  • Communication Management: Manage incoming and outgoing communications, including emails, phone calls, and correspondence, with professionalism and efficiency.
  • Scheduling and Coordination: Coordinate meetings, appointments, and travel arrangements, optimizing time management for executives or team members.
  • Running Errands: Efficiently handle various administrative tasks outside the office, including picking up and delivering documents, supplies, or other items as needed to support the organization’s operations.
  • Accounting Support: Assist with accounting tasks such as tracking expenses, maintaining organized records, both physical and digital, ensuring accuracy and confidentiality.

Education:

  • High School Diploma or equivalent
  • Relevant post-secondary education is an asset

Qualifications:

  • Clean RCMP background check
  • Valid driver's license and reliable vehicle

Experience:

  • 3+ years of relevant administrative experience required
  • Previous experience directly supporting another (i.e. Executive Assistant/Personal Assistant) is an asset

  • Excellent communication, both verbal and written
  • Strong sense of confidentiality and discretion
  • High attention to detail and organization
  • Confident, poised, and professional
  • Resourceful and adaptable, able to shift priorities at any given time
  • Able to manage multiple conflicting priorities with ease
  • Eager and willing attitude, not afraid to take on additional tasks as needed
  • Highly flexible, can work overtime/on-call as required

Base Salary: $55,000 – 60,000+ per year

  • Salary based on experience
  • Full benefits package

Work Hours:

  • 40 hours per week (overtime to be expected)
  • May include after-hours emergencies (on-call) therefore flexibility is required

  • This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
