Administrative Assistant (Mobile Crisis Response Team)
Full Time Position – Winnipeg or Thompson, MB
MKO is Manitoba Keewatinowi Okimakanak Inc. (MKO) is seeking a highly organized and detail-oriented Administrative Assistant to join our Mobile Crisis Response Team (MCRT). The ideal candidate will provide essential support to ensure the smooth running of our day-to-day operations. Under the direction of the Program Manager, the Administrative Assistant will provide administrative support for MCRT Program employees. Strong communication skills, proficiency in office software, and the ability to multitask in a fast-paced environment are essential for success in this role.
Roles and Responsibilities
- Provides technical and administrative support to the MCRT Program Team members.
- Tracking, monitoring, and follow-up of expenses related to the operation of the MCRT.
- Maintaining a directory of key stakeholders and community resources within Manitoba First Nation communities.
- Arranges travel logistics of the deployment plan for the MCRT Program and communicates logistics accordingly.
- Facilitates travel expense claims, invoices, and payments in conjunction with the finance department and provides MCRT Program Manager and Assistant Program Manager copies of related travel expense claims.
- Facilitates correspondence on behalf of the MCRT Program members if necessary, with input and guidance from the MCRT Program Manager or Assistant Program Manager.
- Preparation of materials for conferences, assemblies, meetings, and training events.
- Provide support to the MCRT Program in maintaining the electronic filing system.
- Maintain office supplies and promotional items inventory for the MCRT Program.
- Provide administrative support in meetings as necessary at the direction of the MCRT Program Manager.
- Must maintain a strict adherence to MKO policies regarding the handling of sensitive and confidential information at all times.
- Assists other team members and carries out other duties as needed and assigned.
- Works well with gender diverse people.
- Participate in professional development trainings to enhance capacity in the context of mental health or mental health support.
- Undertake training to assist with maintaining the toll-free number for the MCRT Program 1-844-927-5433, 24-hour Line with the Assistant Program Manager and Intake Coordinators.
- Manage the crisis response emails, inbox, and replies with the Assistant Program Manager and Intake Coordinators.
- MKO is a political advocacy organization that works to represent the leadership and member First Nations. All staff at MKO may be given other duties as assigned that enable MKO to fulfill the mandate and responsibility to its member communities.
Education and Experience
- Minimum 3 years of experience in an office/administrative environment.
- Post-secondary education in business administration or equivalent.
- Ability to set priorities, handle multiple tasks simultaneously, and meet deadlines.
- Demonstrates strong initiative with the ability to work independently while functioning as part of a team.
- Proficiency with MS Office, Internet, E-mail, and other business-related computer software is required.
- Excellent organizational skills, attention to detail, and follow-through.
- A sensitivity and understanding of culture, language, and issues relevant to First Nation communities.
- A current police security clearance and satisfactory criminal record check including clearance to work with vulnerable men, women, youth, and child intervention.
- Satisfactory child abuse registry check.
- A valid class 5 driver license.
- A willingness to travel.
