Administrative Assistant
How does the role impact the organization?
As a key member of the Raymond James team, the Administrative Assistant will support two Executives in business areas which are integral to the growth of Raymond James, those being Raymond James Investment Counsel Ltd. (“RJIC”) and Raymond James Correspondent Services (“RJCS”) as well as provide support to portfolio managers operating on the Raymond James Investment Counsel platform.
The role requires an individual who has meticulous organizational skills, excellent attention to detail, possesses a positive attitude, and has exceptional interpersonal skills. The successful candidate must also be social media savvy, responsible, self-motivated and a team player.
What is the position responsible for?
- Provide full administrative support, including establishing and coordinating calendars, arranging/scheduling meetings, acting on telephone/mail requests received in the Executives’ absence, and managing correspondence as appropriate;
- Organize and pro-actively manage calendar, travel plans, and expenses for Executives, including arranging bookings, arranging for equipment and materials, tracking responses of meeting attendees, and following up as appropriate;
- Provide support in the development of PowerPoint presentations, Microsoft Excel reports (including expense reports), and Microsoft Word documents;
- Conduct analysis and collate information to enable the executive management of the business;
- Actively manage the social media presence of both business areas to raise the profile of the entities;
- Actively manage the RJIC/RJCS intranet page(s)/website(s) to enhance communication and change management within the Independent division;
- Work as a backup support person for vacation and short notice coverage for other members of the team;
- Interface with select portfolio managers within RJIC to provide administrative support and assistance as required;
- Work effectively with all levels of management and with external contacts;
- Assist with the coordination of RJCS/RJIC breakouts at the National Business Conference.

Qualifications:
- Proficiency in English, oral and written;
- Minimum 2 years related work experience in the investment industry;
- Completion of an undergraduate degree or diploma;
- Proficiency with MS Office including Word, Excel, PowerPoint and Outlook;
- Experience with MS CRM is an asset;
- Ability to take initiative, determine priorities and work with minimal supervision;
- Strong analytical and communication skills;
- Strong organizational, multi-tasking and time management skills with the ability to prioritize;
- Ability to work in a fast-paced environment and demonstrate a professional and friendly manner;
- Flexibility and willingness to assist other team members as required;
- Excellent aptitude for detail; with strong organizational, multi-tasking and prioritizing skills;
- Well-developed, proven customer service and interpersonal skills;
- Willingness and ability to learn new applications;
