As we expand our operations in Yellowknife, we seek a dedicated Administrative Assistant to join our team. This role will support our administrative functions and contribute to the efficient operation of our services in the region.

Job Description: The Administrative Assistant will play a crucial role in the daily operations of our Yellowknife office. This position is responsible for a variety of administrative and clerical tasks to support our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Key Responsibilities:

  1. Answer and direct phone calls, organize correspondence, and manage email inquiries.
  2. Schedule and coordinate appointments, meetings, and events.
  3. Maintain filing systems, manage records, and ensure all paperwork is up-to-date.
  4. Assist in the preparation of regularly scheduled reports.
  5. Develop and maintain a filing system for important and confidential company documents.
  6. Update and maintain office policies and procedures.
  7. Order office supplies and research new deals and suppliers.
  8. Maintain contact lists and assist in the preparation of presentation materials.
  9. Provide general support to visitors and assist with client relations.
  10. Handle sensitive information in a confidential manner.
  11. Coordinate with other departments to ensure compliance with established policies.
  12. Assist in the onboarding process for new hires.

Requirements:

  1. Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
  2. Knowledge of office management systems and procedures.
  3. Working knowledge of office equipment, like printers and fax machines.
  4. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  5. Excellent time management skills and the ability to prioritize work.
  6. Attention to detail and problem-solving skills.
  7. Excellent written and verbal communication skills.
  8. Strong organizational skills with the ability to multi-task.
  9. High school degree; additional qualification as an administrative assistant or secretary will be a plus.
  10. Previous experience in the healthcare sector or a related field is highly desirable.

Job Types: Full-time, Part-time

Pay: $17.00-$21.00 per hour

Expected hours: 15 – 35 per week
