What you’ll be doing

This position is responsible for providing comprehensive support to the Chief Strategy Officer (CSO). The role requires excellent communication and interpersonal skills, the ability to work well with others, and a commitment to delivering exceptional customer service. The ideal candidate will maintain a positive attitude and contribute to creating a productive work environment.

To efficiently manage multiple tasks, this role requires a proactive self-starter with an inquisitive approach to solving challenges. The ideal candidate will be highly organized, exercise the utmost discretion and confidentiality, and demonstrate strong research skills to support informed decision-making and continuous improvement.

You will be responsible for

  • Provide administrative support to the CSO and Business Development team, providing a high level of confidentiality including scheduling meetings, managing calendars, expense report review, and handling correspondence.
  • Proven experience in utilizing and researching tools, applications, and methods to streamline tasks and improve workflow efficiencies.
  • Coordinate and support sales, service, and marketing activities, including organizing and preparing responses to corporate request for proposal, client communication, and follow-ups.
  • Collaborate with the service team to prepare for Quarterly Business Reviews (QBRs) and presentations, utilizing Microsoft tools to enhance the efficiency and consistency of presentations.
  • Create and compile comprehensive monthly reporting packages for sales, service, and marketing. These packages should include sales pipeline data, onboarding metrics, client visits, feedback and satisfaction metrics, as well as departmental KPIs.
  • Assist in the analysis and review of sales information to prepare sales reports and follow up action items - utilizing CRM and Microsoft Power BI.
  • Coordinate meetings by scheduling, participating and taking minutes, summarize key points and distribute them.
  • Project Management Support with tracking deliverables, follow ups, and assist in planning and coordinating project tasks.
  • Maintains a high level of organization for self and others, ensuring tasks are completed efficiently and deadlines are met.
  • Assist in planning and coordinating client and company events, and meetings.
  • Coordinate travel for employees and vendors when required.

What we need from you

  • Bachelor’s Degree or Diploma in Business Administration, Finance or a related field of study.
  • 5 years of experience as an Administrative Assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with Dynamics 365, Microsoft Copilot, and Power BI is an asset.
  • Excellent organizational, interpersonal and time-management skills with a focus on prioritizing customer satisfaction, while striving to exceed expectations.
  • Ability to work independently and as part of a team in a fast-paced, changing environment.
  • Excellent problem solving, attention to details and decision-making skills.
  • Strong verbal and written communication skills.
  • Eligible to occasionally travel when required to other office locations in CAD/USA/MEX.
  • Must be legally eligible to work for the Company at all times.
