Job Description

Headquartered in the City of Kamloops, the TNRD provides a wide range of local government services to the population of 144,000 living within its 11 diverse municipalities and 10 electoral areas.

The Role:

Reporting to the Manager of the department, the Administrative Assistant provides expert administrative support for the services provided by this team to TNRD residents. Under guidance of the Manager, the Assistant provides support on department activities and operations. Activities can include correspondence, compiling supporting information, tracking, procurement and contract support, responding to public queries, reception backup coverage, general administrative and other related duties. The Assistant may attend meetings and record and transcribe minutes when necessary, and assist with event arrangements as required. This role may also assist with contracts, invoicing, and departmental service coordination work. Using exceptional administrative skills, the Assistant creates and maintains departmental documentation, such as letters and spreadsheets and maintains comprehensive filing and electronic document management systems.

Job Requirements

Required Education and Experience:

  • Certificate in business administration and a minimum of two years’ recent, related experience.
  • An equivalent combination of education and experience may be considered.
  • Local government experience, in particular directly related to the type of work/services provided by this department, will be given preference.

Required Skills and Abilities:

  • Excellent writing, communication, and customer service skills are required, with the ability to respond with tact and courtesy.
  • Exceptional technical skills in MS Office, including:
    • Word functionality including mail merges, indexes, table of contents, utilizing styles, tracking changes, etc.
    • Excel functionality including linking workbooks, creating formulas, worksheet/workbook protection, etc.
    • Outlook functionality including calendar management, sharing contacts, creating groups, etc.
  • Ability to perform electronic word processing at 60 WPM.
  • Strong attention to detail is required.
  • Ability to work under limited supervision and manage multiple overlapping priorities or deadlines is essential.
  • Ability to effectively contribute to a highly effective team working in a very busy, dynamic environment.

Preferred Skills and Abilities:

  • Basic knowledge of PowerPoint, including creating presentations, animations, slide transitions, creating charts and diagrams, etc.
  • Basic knowledge of Access or other relational database programs including entering data and running reports.

Salary Grade

$2,086.11 - $2,404.55 ( CUPE PG 2 (Bi-weekly) )
