Job Title: Administrative Assistant
Department: Faculty of Arts
Type of Appointment: Full-Time
Responsibilities
- Provide comprehensive administrative support to the Faculty of Arts including the programs of the Schools of Social Sciences and Liberal Arts.
- Engage with School directors, program coordinators, faculty members, the Dean’s office and support students.
- Assist the School Director and coordinators in governance, internal and external university affairs, including budgets, course offerings, workloads, special projects, program reviews, recruitment, and various other activities.
- Assist in the collection of data and information required for school annual reports.
- Prepare and maintain Google sheet tracking records for all academic processes and councils.
- Organize functions specific to the department (schedule meetings, prepare documents, travel arrangements, etc.).
- Communicate information electronically and respond to various requests such as booking meeting rooms, documents, agendas, and minutes.
- Update and maintain the School’s webpages and social media.
- Assist in the organization of student workshops, special events, guest speakers, trips, and open house events.
- Perform other duties as assigned.
Qualifications
- Secondary School Diploma or College Certificate, with two (2) years in Administration.
- Three (3) to five (5) years of related experience in office administration, preferably in a post-secondary environment.
- Experience and thorough knowledge of Google Suite, MS Word, Excel, PowerPoint, Gmail, and Calendar.
- Strong communication and interpersonal skills, experience in customer service.
- Excellent time management, organizational skills with ability to prioritize multiple responsibilities.
- Experience with institutional policies, procedures, and budget processes.
- Ability to work both collaboratively and independently, with initiative and under minimal supervision.
- Fluency in both official languages, French and English, is required.
