REPORTS TO: Administrative Supervisor

WHAT YOU’LL BE DOING:

Office Administrative Duties:

  • Manage general correspondence and inquiries: welcome and greet guests and visitors in a courteous and professional manner, answer general phone inquiries, sort incoming mail and deliveries, prepare and send outgoing mail and courier packages, and manage the reception email inbox.
  • Organize and tidy common areas: maintain and replenish inventory for office supplies, stationery, and kitchen supplies.
  • Assist with Facility Management: onboard and offboard employees, update phone listings and floorplans, order name plates, coordinate food and beverages for meetings and training sessions, complete invoice coding and verification, and assist with corporate event and team-building planning.
  • Monthly reporting and reconciliation: handle hydro meter reporting, reconcile monthly petty cash statements, and Visa statements.

Safety Training and Coordination:

  • Prepare and distribute hazard ID and Incident Summary: Track and coordinate safety training, conduct hearing tests, identify hazards, manage the safety award program, track driving incidents, manage safe work permit inventory, upload field connect data, handle drivers' abstracts, and prepare safety gathering presentations.

Other Duties:

  • Annual renewal of Saskatchewan fleet vehicle insurance.
  • Assist with planning and executing office events and corporate gatherings.
  • Provide administrative support to various departments as assigned by the Administrative Supervisor.
  • Other duties as required.

WHAT YOU NEED:

  • High school diploma with Office Administration education or equivalent experience.
  • 3+ years of office administrative experience.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
