R.W. Gibson Consulting Services Ltd., a division of The Gear Centre Group of Companies, is currently seeking an Administrative Assistant in our west end Edmonton office.

Primary Responsibilities:

  • Provide administrative support, including phone answering, mail distribution, filing system maintenance, and list management
  • Timesheet verification and approvals
  • Prepare expense claims and issue purchase orders
  • Process accounts payable, including vendor invoice preparation
  • Bank statement and corporate credit card reconciliation
  • Maintain corporate files and track trademarks and licenses
  • Handle insurance matters, such as premium preparation, policy payment and document maintenance
  • Liaison with banking representatives
  • Order credit cards, phones and arrange for computer access for new employees
  • Schedule and assist the new employee with the Human Resources Department online training
  • Oversee vehicle and equipment maintenance scheduling
  • Receive and process annual renewal notices for commercial/residential property and company vehicles
  • Renew Alberta Vehicle Industry Council (AMVIC) and Commercial Vehicle inspection (CVIP) licenses
  • Renew Commercial Vehicle Operators Registrations (Ontario)
  • Prepare all documentation for the sale, transfer or disposal of company vehicles in compliance with the company’s asset policy
  • Assign asset numbers for newly purchased vehicles and motorized equipment
  • Coordinate out of town deliveries and assign drivers and vehicle assignments
  • Contact employees with outstanding traffic violations and process payments
  • Coordinate corporate events, order service awards, book flights and hotels for attendees and guests
  • Complete employee surveys and compile the data for review with management
  • Special projects and research as required

Position Requirements:

  • A post-secondary diploma or certificate in Accounting/or a minimum of three years of experience working in an office administration role
  • Demonstrates a high level of integrity, confidentiality, and professionalism
  • Strong interpersonal, exceptional organizational skills and attention to detail are a must
  • Advanced level of proficiency in all Microsoft Office applications (Word, Excel, Outlook)
  • Proven ability in professional letter writing
  • Effective communication skills, both written and verbal, with strong interpersonal interactions
  • Proficient in gathering data from various sources, analyzing it, preparing reports, and providing recommendations
  • Proven track record in successfully managing multiple projects simultaneously
