About This Position
The Office of Research, Scholarship and Community Engagement (ORSCE) is dedicated to helping research and scholarly activity from beginning to end. The ORSCE office motto for researchers is "see us early, see us often".
ORSCE fosters a culture of scholarly inquiry on campus for the betterment of the broader community. Some of our activities include: Assisting with the development of research ideas; Providing information on sources of project funding; Conducting workshops on facets of research, scholarship and community engagement; Improving grant application success through support from internal and external experts; Facilitating collaborative and interdisciplinary programs of research; Administering grants and awards; Overseeing and supporting a diverse collection of scholarly institutes; Communicating and celebrating research and scholarship of the MRU community.
About The Role
Reporting to the Director, Office of Research, Scholarship and Community Engagement this position is accountable for providing administrative and communications support to the Associate Vice President Research, Scholarship and Community Engagement, and to the Office of Research, Scholarship and Community Engagement (ORSCE).
This is a permanent full-time role working 35 hours per week.
Responsibilities
Administrative support to the ORSCE and AVP RSCE (50%):
- Deal with a range and variety of inquiries (phone/in-person/email) by responding directly or referring as appropriate.
- Apprise faculty of deadlines, projects, requests for committee membership, etc.
- Acts as a resource for faculty when hiring for research, contracting for professional services.
- Communicate to faculty and undergraduate students research and scholarship grants, activity and opportunities.
- Write and circulate routine inter-faculty communications including notices of meetings, reminders of appointments etc.
- Schedule meetings using Google Calendar and secure in person locations as well as virtual technology access as needed.
- Work with Marketing Communications and various faculties to plan and organize events.
- Prepare special reports and summaries as well as prepare correspondence for President/and Provost signature as necessary.
- Format, produce and distribute a variety of written correspondence and documents from rough drafts and verbal directions.
- Take and transcribe minutes for committees chaired or co-chaired by the AVP RSCE or the Director ORSCE and others as required. Prepare and distribute action items arising from business discussed at meetings as appropriate.
- Ensure committee memberships are current. Advertise/request new members and prepare letters for new/outgoing members.
- Arrange equipment/computer accounts/phones for new employees.
- Coordinate the purchase and maintenance of all equipment, furniture and office supplies for the office.
- Arrange travel, transportation and accommodations as required for ORSCE and AVP RSCE as needed.
Coordinates content creation for web, print, and social media (25%):
- Coordinates the development and deployment of content for the ORSCE’s website and social media accounts including monitoring, updating, posting, and responding on channels as appropriate, and within defined parameters.
- Liaises with the University’s Social Media Strategist to ensure content on ORSCE social media channels aligns with University strategy, policy, and guidelines.
- Collaborates with individuals in ORSCE to ensure content on the website reflects current initiatives, priorities, programming, and services, and consults on website navigation, structure, and organization to ensure content is conveyed efficiently and effectively.
- Writes materials to meet the goals of ORSCE projects, using different writing styles appropriate to the platform or medium.
- Ensure digital and print content aligns with University-wide guidelines and policies.
Collaborates in developing ORSCE’s communication strategy and execution (25%):
- Plans communications strategies and approaches for projects and initiatives.
- Compiles information in response to requests for information from, but not limited to, senior leadership, faculty, administrators as well as external organizations.
- Creates campaigns that make use of multiple communication tools (signage, website and social media) to achieve strongest impact.
- Liaises with MRU Marketing and Communications to stay current and informed about University marketing and communications strategies and priorities, including the brand.
- Works with the ORSCE Leadership team and members of the MRU Marketing and Communications team to develop strategies for communicating services and programming, including determining what areas need to be marketed, specify the marketing activities and identify the audiences for each marketing activity.
- Partners with the Marketing and Communications Strategist on projects and initiatives and for consultation and/or leadership as appropriate and required.
Qualifications
- Post-secondary degree.
- 3 to 5 years of relevant work experience.
- Strong verbal and written communication skills.
- Excellent Word, Excel and PowerPoint skills.
- Comfortable with technology and willingness to learn and experiment.
- Strong level of initiative and personal accountability.
- Excellent interpersonal skills.
- Ability to prioritize work, multi-task and manage time effectively.
- Ability to work independently, make effective decisions and ask for help when required.
Salary: $49,774.00 - $63,004.00 per annum
