Position Summary:

Avara Landscaping is seeking a highly organized and detail-oriented Administrative Assistant to support our daily operations. This role is integral to ensuring smooth office management, effective communication, and efficient administrative processes. The ideal candidate will be proactive, resourceful, and capable of handling multiple tasks to assist the management team in maintaining operational excellence.

Key Responsibilities:

Administrative Support:

  • Manage schedules, appointments, and communications for the management team.
  • Oversee email correspondence and respond to customer inquiries promptly and professionally.
  • Maintain organized records, files, and documents for easy access and retrieval.
  • Assist with invoicing, data entry, and clerical tasks such as document preparation and filing as needed.

Office & Operations Coordination:

  • Assist in managing project documentation, including contracts, permits, and work orders.
  • Support management in tracking budgets and expenses related to administrative and operational needs.
  • Develop and maintain office procedures to enhance efficiency and streamline workflows.

Marketing & Promotional Support:

  • Assist in drafting and distributing newsletters, brochures, and other marketing materials.
  • Ensure branding consistency across office communications and printed materials.
  • Provide administrative support for event planning, trade shows, and community outreach initiatives.

Additional Responsibilities:

Content Creation & Social Media Management:

  • Create engaging and visually appealing content, including photos, videos, graphics, and written posts for platforms such as Facebook, Instagram, TikTok, LinkedIn, and YouTube.
  • Plan, schedule, and monitor social media uploads to maintain a consistent and active online presence.

Qualifications:

Education:

  • High school diploma or equivalent required; post-secondary education in business administration, office management, or a related field is an asset.

Experience:

  • Minimum of 1-2 years of experience in administrative support or office coordination.
  • Familiarity with customer service and office management best practices.
  • Experience handling business communications and document management.

Skills:

  • Strong organizational and multitasking abilities with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Problem-solving skills and the ability to prioritize tasks effectively.
  • Basic knowledge of bookkeeping and financial record-keeping is a plus.
