Based in the Vancouver head office and reporting to the Director, Digital Analytics, the Administrative Assistant is responsible for all administrative support and assistance to the Operations Excellence leadership team. This role supports five senior leaders with calendar management, travel, expense administration, and other supporting tasks.
Responsibilities
- Provides administrative support to senior leaders:
- Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
- Coordinate and maintain calendars with keen attention to detail
- Coordinate logistics and arrangements for meetings and events, including catering and A/V
- Coordinate all travel arrangements; prepare travel itineraries and agenda packages
- Handle email, phone, and written communications on behalf of leaders
- Assist in preparation/formatting of PowerPoint presentations and Excel spreadsheets
- Plan, organize and follow-up on details related to receptions and events
- Prepare general correspondence and documents
- Process leadership expense reports and monitor direct reports expenses for accuracy
- Other administrative duties including photocopying and arranging for courier delivery
Organize the activities of the leaders using independent judgment:- Screen meeting requests, visitors, and phone calls
- Identify potential problems and shifting priorities
- Develop administration procedures to respond to the operating style of the Executive
- Receive visitors with good judgment and high sensitivity
Perform Administrative Duties for the Department as requiredQualifications
- 5+ years of experience in an administrative or executive support role
- Confirmed ability to work in a fast-paced environment
- Ability to communicate with staff at various levels
- Ability to adapt responsibilities based on changing environments
- Experience coordinating meetings across international boundaries
- Strong organization and administrative skills
- Assess sensitivity and/or confidentiality of matters
- Initiative and self-management skills
- Extensive experience in using office software
- A minimum typing speed of 50 words per minute
- Decisiveness and good judgment required
- Excellent English language skills; Spanish would be an asset

Salary Range: $57,000 - $70,000
The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies.
