Job description

Associa BC is looking for a full-time, Administrative Assistant (Data Entry) to join our RHOME (rentals) administrative team in our Surrey office.

Our office is open concept and welcoming with new furniture and equipment, it is easily accessible by transit and we celebrate our diverse and inclusive office culture with social gatherings and celebrations.

The Administrative Assistant (Data Entry) is responsible for providing administrative and accounting support to RHOME - the Rental Division Team.

Key Duties

  • Scanning, uploading, electronically filing and distributing documents while meeting monthly deadlines
  • Distribution of Accounts Receivable listings and financial statements to Property Managers and Owners
  • Performing data entry for accounting purposes
  • Accurately entering private data of owners and tenants in internal databases
  • Maintaining vacant rental unit advertisements
  • Assisting with credit checks and sending files to collections
  • Preparing mail outs, new tenant packages, labels, postage and training materials for caretakers
  • Laminating documents and parking passes
  • Scheduling showings for new buildings and maintaining the wait list
  • Extracting, compiling, and updating spreadsheets
  • Preparing and sending Registered Mail, which may require a trip to the postage outlet
  • Other administrative tasks needed for the team's completion of monthly and yearly projects
Requirements

  • Works in office (this is not a hybrid or remote role)
  • Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level
  • Knowledge of typical business correspondence (grammar, structure, punctuation, spelling, etc.) at a proficient level
  • Interpretation and completion of verbal and/or written instructions at a proficient level
  • Knowledge of general office equipment (copier, phone systems, laminator, mailing machine, folding machine, etc.) - training will be provided
  • High degree of organization including setting up calendar reminders, creating folders in email, pinning quick access folders, using voicemail and email
  • Confidentiality and discretion in the performance of all duties
