Job Title: Administrative and Operations Support Coordinator

Location: 145 Pacific Avenue, Winnipeg, MB

Employment Type: Full-Time

Reports to: Executive Director

About Football Manitoba:

Football Manitoba is dedicated to fostering a positive and enriching environment for the growth of football at the grassroots level. We collaborate with minor football and local leagues to provide exceptional service and support to our community, ensuring a fantastic experience for all involved. We are currently looking for an organized and proactive individual to join our team as an Administrative and Operations Support Coordinator.

Job Overview:

As the Administrative and Operations Support Coordinator at Football Manitoba, you will play a vital role in ensuring smooth operations throughout the organization. Your responsibilities will include communicating with members, maintaining inventory, assisting with financial processes, providing event support, and helping manage day-to-day tasks that are essential to our success. You will report directly to the Executive Director.

Key Responsibilities:

  • Communication & Client Experience:
  • Provide communication on behalf of Football Manitoba.
  • Collaborate with minor football and club leagues to ensure excellence in client experience.
  • Answer general inquiries and provide customer assistance.
  • Administrative Support:
  • Provide general administrative support, including email management, filing, document scanning, and meeting room bookings.
  • Assist with office organization, data entry, and managing contacts.
  • Process refunds, reconcile member registrations, and handle financial correspondence.
  • Inventory & Merchandising:
  • Maintain accurate inventory counts and manage inventory storage.
  • Receive orders, process Shopify orders, and handle merchandise sales.
  • Create purchase orders and track expenses.
  • Organize and manage team supply distribution for coaches and participants.
  • Event Support & Coordination:
  • Assist in event logistics and prepare event supplies.
  • Coordinate volunteers and assist with weekend event availability.
  • Support coaches and participants with team supplies and other event-related needs.
  • Financial Tasks:
  • Perform day-to-day accounting functions, including entering receivables and payables.
  • Prepare cheques and generate month-end reports.
  • Manage and track expenses.
  • Additional Duties:
  • Handle mail and package deliveries.
  • Support social media and coordinate small projects as needed.

Qualifications & Skills:

  • Previous administrative and operations experience is preferred.
  • Strong organizational skills with a keen attention to detail.
  • Ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Experience with Shopify, bookkeeping, and basic accounting is a plus.
  • Ability to work independently and as part of a team.
  • Availability to work weekends for event support as needed.
