RESPONSIBILITIES

Under the general supervision of the Executive Director, the Executive Assistant is responsible for providing confidential, senior-level administrative support to the Executive Director and the Board of Directors (BOD). The Executive Assistant works closely with the Executive Director to perform the following administrative duties:
• Participate in BOD and Committee meetings in order to record the minutes and follow up as required.
• Save various BOD documents for the archives.
• Update the Board of Directors Orientation and Information Guide and the BOD Policies and Procedures Manual.
• Coordinate certain BOD activities, in particular the orientation of newly-appointed Board members.
• Liaise between the Executive Director and staff as required.
• Draft routine correspondence for the Executive Director.
• Help manage the Executive Director’s agenda.
• Coordinate translation and revision of administrative documents and documents addressed to the public, and proofread them.
• Help prepare presentations, reports, memos and various messages.
• Provide support for updating the Centre’s policies and procedures.
• Liaise with the Finance Department on behalf of the Executive Director for basic information.
• Contribute to the planning, implementation and annual evaluation of operational initiatives that reflect the strategic directions of the Centre, and participate in initiatives of partner organizations.
• Demonstrate diligence, confidentiality and loyalty in dealings with employer.
• Know and comply with all organizational policies, procedures and standards, as well as legislative, regulatory, professional and accreditation requirements.
• Perform other tasks and duties related to this job description that do not exceed the skills and abilities described.

REQUIRED SKILLS AND QUALIFICATIONS

• Office Management or Administration Degree, or other related degree, and five years of experience in senior administrative work; or university degree with courses in social sciences, communication/writing or business administration, and two years of experience in a related field.
• Keyboarding Speed of 60 wpm or more.
• Knowledge of the determinants of health is an asset.
• Be aware of the needs of people living in vulnerable situations.
• Be able to sit for long periods of time, and walk during the day.
• Be physically able to perform the duties of the position in a variety of weather or environmental conditions.
• Have very good oral and written command of both of Canada’s official languages.
• Demonstrate critical, innovative and proactive thinking to meet the needs of clients and coworkers.
• Possess excellent communication, conflict resolution and interpersonal skills.
• Maintain strong internal and external working relationships. 
• Manage time effectively and be able to set priorities and multi-task in a fast-paced environment.
• Proficiency in Microsoft Office (Outlook, Word and TEAMS) (knowledge of Excel and SharePoint would be an asset).
