Your Mission:
As an Accounts Payable/ Receptionist, your mission is to ensure the smooth operation of our financial transactions and provide exceptional administrative support. You will be an integral part of our team, maintaining accuracy and efficiency in our accounts payable and receivable processes while delivering top-notch reception services to our clients and visitors.
Here’s what an ordinary day of work might look like:
Reception Duties:
- Be the first point of contact by professionally answering phone calls, taking messages, and transferring calls accurately.
- Create a welcoming environment by greeting visitors warmly.
- Stay organized by scanning, copying, and mailing documents efficiently.
- Lend a helping hand by supporting other staff members with administrative tasks as needed.
Accounts Payable:
- Start your day by receiving and verifying invoices, coding, and posting them to QuickBooks with precision.
- Stay on top of things by following up on any disputed or outstanding invoices and handling AP-related queries.
- Ensure smooth operations by obtaining all required invoice approvals and answering supplier payment queries.
- Keep everything in check by reconciling supplier statements and processing weekly supplier payment runs.
- Wrap up by filing paid invoices and performing other tasks to keep the department running smoothly.
Accounts Receivable:
- Track and apply payments on customer invoices, ensuring accuracy and timeliness.
- Be the go-to person for answering queries on customer accounts and resolving any disputed amounts.
- Keep everyone informed by running and distributing monthly statements of accounts.
- Maintain efficiency by generating customer invoices and credits promptly.
- Follow up diligently on overdue accounts, ensuring procedures are followed for effective collection.
This job is for you if you:
- Holds a High School Diploma or equivalent.
- Have intermediate-level computer skills with Microsoft 365 (Word, Excel, Outlook).
- Can adapt to varying work demands and prioritize effectively.
- Possess strong organizational skills with attention to detail and accuracy.
- Are familiar with QuickBooks or willing to learn.
- Excel in handling and prioritizing multiple tasks.
- Demonstrate above-average interpersonal, oral, and written communication skills.
- Have previous experience in reception (considered an asset).
- Exhibit a professional and polished telephone manner.
Compensation is based on experience and qualifications.
