The Role
We're seeking an Accounting & Administrative Coordinator to support our clinic operations and accounting team from a home office in Calgary. This full-time (Monday - Friday 40 hours weekly) remote position includes occasional local travel in the Calgary area. You'll play a pivotal role in pharmaceutical inventory management, administrative coordination, and basic bookkeeping and accounting functions, while collaborating with IT and clinic teams to keep everything running smoothly.

Key Responsibilities
What You'll Do
Pharmaceutical Inventory Management:

  • Lead ordering, pricing updates, and process improvements.
  • Process orders and transfers for clinics.
  • Prepare invoices, rebate calculations, and scheduled reports.
Administrative Leadership:
  • Serve as the go-to contact for basic front-line IT support and Microsoft Teams/SharePoint issues.
  • Manage system access for new hires, leaves, and terminations.
  • Maintain intranet content and optimize workflows with remote teams.
Accounting Support:
  • Assist with accounts payable (via Dext/Sparcpay), weekly banking, and payroll entries as needed.
  • Review payments for accuracy and manage vendor setups.
  • Correspond with clinic managers and vendors on outstanding payables and credit card receipts.
  • Import pharmaceutical purchase invoices into QBO, reconcile vendor payments and client deposits.
  • Support other accounting functions such as matching bank feeds, assist and backup for payroll processing as required.
Skills, Knowledge and Expertise
Who You Are
  • A detail-oriented problem-solver with strong organizational and analytical skills.
  • Skilled communicator (written and verbal) who builds trust across teams.
  • Comfortable managing high transaction volumes and meeting tight deadlines.
  • Tech-savvy, with proficiency in Microsoft 365 (Teams, SharePoint) and QuickBooks (Online/Desktop).
  • Experienced in inventory management and full-cycle bookkeeping (minimum 3 years).
  • Flexible and independent, with a valid Class 5 driver's license for occasional Calgary travel.
  • Preferably hold a post-secondary diploma/certificate in accounting, administration, or a related field.
  • Canadian citizen or permanent resident residing in Alberta (Calgary area preferred).
