About The Position

This is a temporary full-time support staff position, replacing a bargaining unit employee. This position will start in April 2025 and end in December 2025. Working 35 hours per week at an hourly rate of $36.29.

Reporting to the Manager, Employment Services, the successful candidate is a member of the Academic Upgrading team. They will be the main point of contact for Academic Upgrading for internal and external stakeholders of the institution and expected to contribute to the program outcomes set out by the annual program business plan.

Under the supervision of the Manager, supports the design and delivery of LBS/ACE courses/program, employment and skills focused training for students within the program. With a program performance outcomes focus, the incumbent conducts confidential entrance and exit interviews of program participants.

The incumbent will work with program faculty to determine participant’s ability to meet their program goals and in cooperation with the participant develop appropriate training plans and academic/employment goals. The incumbent plans and organizes new participant intakes, assessment schedules and follow up to ensure that participants complete a successful intake into the Academic Upgrading program.

Incumbent compiles and maintains program participant data/file from admissions to exit. Incumbent enters all data into Employment Ontario Case Management System (EOIS CaMS)/ Ministry of Labour, Immigration, Training and Skills Development ) system. In cooperation with the program manager, the incumbent will lead team discussions related to statistical program strategies to meet program outcomes.

The incumbent is also responsible for marketing the Academic Upgrading program to key internal and external stakeholders. Some evening and weekend work hours are required and travel is involved.

Specific Accountabilities

  • Interviews participants for program eligibility and to determine participant’s long and short term academic/employment goals; reviews information/data, academic level and learning/training plans; conducts goal-setting activities with participants.
  • Provides up-to-date educational/vocational information to participants or direct them to other sources.
  • Schedules information and referral appointments and start dates; schedules individual intakes and information sessions/tours, coordinates faculty-evaluated participant assessments and notifies students of assessment results.
  • Maintains regular contact with all participants to help improve their experience at the college, particularly those whose attendance is below the expected level.
  • Acts as a resource for program participants for career and academic development plans.
  • Coaches participants on academic and self-management challenges, offers strategies and solutions which include referral, as required, to community and government services for additional service and support.
  • Makes appropriate referrals to community agencies to support participants before and during participation in the Academic Upgrading program.
  • Uses an internal case management note taking system ensures all participant activity is noted in a timely fashion to the participant file. Maintains participant confidentiality and privacy as per Ministry expectations and College policies.
  • Prepares and maintains participant files, collects information from faculty and accurately updates all required data input of milestones, learner activities and culminating tasks as achieved by each participant, as mandated by the Ministry.
  • Ensures that all data collected in the participant physical file matches EOIS CaMS data entered. Data includes but is not limited to Participant Registration Forms, Learner Plans (as well as regular updates), Exit and Follow-up Forms, survey results etc.
  • Completes regular file audits to ensure Ministry compliance.
  • Reviews, maintains and updates internal program policies and procedures, making necessary changes when needed.
  • Manages participant Ministry EOIS CaMs data. Inputting initial registration information onto the EOIS CaMS Ministry information system as well as on-going documentation related to the participants progress and learning plan activities and outcomes.
  • Analyzes program outcomes against departmental and ministry goals and standards and strategizes other initiatives for continual improvement.
  • Maintains accurate enrollment counts for program planning and funding, investigates and troubleshoots any variances, trends and generates reports required by the Program Manager. Data integrity, accuracy and verification are an integral part of this position and directly affect the funding of this program.
  • In cooperation with the program manager, the incumbent will lead monthly staff meetings discussions related to the achievement program outcomes.
  • Liaises with the Ministry and other stakeholders. Acts as the lead representative for Academic Upgrading at Lambton College.
  • Responsible to administration of participant training support.
Qualifications
  • 3 year diploma/degree or equivalent in Business Admin, Career Advising or Human Resources.
  • A minimum three years working with students/clients in an advising/consulting role.
  • A minimum of three years experience training in record keeping, statistical measurement, computer and related statistical software.
  • Experience in a performance outcomes academic setting required is an asset.
  • Strong assessment, organizational and communication skills.
  • Knowledge of MS Office Suite, student information databases (Colleague).
  • Experience using the EOIS CaMS Ministry database system is a definite asset.
